The Administrative Assistant will provide essential support to the Corporate Services Team by managing financial tracking, vendor relations, and contract administration. This role is responsible for ensuring efficient spend management, accurate vendor records, and smooth contract renewals, contributing to the overall operational effectiveness of the department.

Key Responsibilities Financial and Spend Management
  • Prepare and monitor financial reports for operating and capital expenses (OPEX and CAPEX).

  • Track and control company expenditures, ensuring alignment with approved budgets.

  • Identify cost optimization opportunities and recommend improvements.

  • Draft and process Request for Proposals (RFPs) for manpower services (housekeeping, messengers, drivers, security), events, and logistics.

  • Consolidate and present detailed financial reports for the Corporate Services Team Head.

Vendor and Contract Management
  • Maintain accurate and up-to-date records of all service providers in coordination with business unit champions.

  • Oversee contract and subscription management, ensuring timely renewals and favorable negotiations with service providers.

  • Assist in reviewing and validating manpower changes reported by business unit champions.

  • Support the evaluation and compliance monitoring of vendors to ensure service quality.

Qualifications
  • Bachelor’s degree in Business Administration, Finance, Management, or a related field.

  • At least 1–2 years of relevant experience in administrative, finance, or vendor management roles.

  • Strong organizational skills with attention to detail and accuracy.

  • Proficiency in MS Office (Excel, Word, PowerPoint); knowledge of financial tracking tools is an advantage.

  • Excellent communication and interpersonal skills.

  • Ability to manage multiple priorities and work with cross-functional teams.
