Purchasing Officer – Food & Beverage

Responsibilities:

  • Assist in identifying and evaluating potential suppliers, negotiate prices and terms, and secure cost-effective options for the organization.
  • Process purchase requisitions and purchase orders and ensure timely delivery of goods and services.
  • Monitor order status and address delays and discrepancies.
  • Maintain accurate records of purchases, pricing, and supplier performance.
  • Build and maintain strong relationships with suppliers.
  • Evaluate supplier performance and provide feedback to ensure quality standards and delivery schedules.
  • Monitor and analyze procurement costs to identify cost-saving opportunities.
  • Ensure compliance with company policies and procedures.

Specific Responsibilities:

  • Handle purchasing categories in Food and Non-Food (small wares, IT equipment, marketing supplies, office/admin supplies, service providers, and other food categories as assigned by the Supply Chain Manager).
  • Source items and vendors based on policy; interface between supplier and entity regarding specifications and budgets.
  • Maintain comprehensive records of supplier contracts, agreements and communications.
  • Prepare purchase requisitions and keep management informed about order status and procurement activities.
  • Prepare purchase orders in line with final negotiations and organizational requirements.
  • Closely monitor orders to avoid past-due shipments and ensure latest delivery commitments are available.
  • Track and expedite orders to minimize stockouts.
  • Resolve discrepancies in order quantity, pricing, and delivery schedules with suppliers.
  • Develop and maintain knowledge of purchasing concepts; pursue continuous improvement in operations.
  • Ensure professional and consistent supplier relationship management.
  • Secure logistics transport for samples and special trips as needed.
  • Perform regular inventory audits to ensure accuracy.
  • Ensure compliance with company guidelines, purchasing policies, and procedures.

Work Experience:

  • 3+ years purchasing experience, preferably in FMCG/QSR or manufacturing.
  • Background in Supply Chain, Logistics, and international trade.

Educational Attainment:

  • Bachelor’s degree in Industrial Engineering or equivalent, Business Administration, Economics, or Finance.

Project and Contracts Management:

  • Prepare and file purchasing documents and supplier contracts; provide project management support as coordinator.
  • Basic knowledge of supply chain processes; computer literate (MS Office, basic Excel).
  • Experience with purchasing ERP or order management system.
Supply Chain Analyst

Responsibilities include monitoring, analyzing, and ensuring inventory availability; coordinating with Procurement, Finance, and Production; identifying efficiency improvements and cost-reduction opportunities.

Qualifications:

  • Bachelor’s degree in Supply Chain or related field.
  • Knowledge of supply chain principles and warehouse management; SAP/ERP experience.
  • Strong analytical and problem-solving skills; excellent communication.
  • Independent and team-oriented; proactive with initiative.
