As a Lead Specialist , you play a key role in enhancing the efficiency and quality of our candidate management processes. Drawing on your expertise, you lead the team through complex tasks with precision, overseeing critical stages such as pre-employment screening, onboarding, and contract management. From verifying documentation and completing background checks to managing contract preparation and delivery, your work ensures accuracy, compliance, and seamless coordination across teams and with external partners. Your strong communication skills, attention to detail, and ability to manage multiple priorities help maintain alignment with both internal standards and client-specific requirements. Each successful onboarding represents a dual achievement: contributing to our business performance and supporting a candidate’s career journey. Key Accountabilities

What you’ll be doing:

  • PES/ Vetting. Manage the pre-employment screening (PES) and vetting process for contingent workforce candidates, ensuring all required background checks and verifications are completed accurately, efficiently, and in accordance with AMS procedures and applicable legislation.
  • Onboarding, Assignment management, and Offboarding. Own and manage the end-to-end onboarding, contract management and offboarding processes, ensuring seamless integration of new joiners.
  • Task allocation. Oversee task allocation, manage reporting activities, and ensure the timely and accurate analysis of data.
  • Compliance/ Audits. Ensure compliance with established service levels and timelines in all tasks and processes, keeping stakeholders informed of progress. Conduct audits of candidate screenings to ensure compliance with internal policies, client requirements, and regulatory standards, and actively contribute to compliance-related initiatives by providing insights, identifying gaps, and supporting implementation efforts.
  • Candidate/ Contractor experience. Maintain clear and proactive communication with candidates, resolving queries, monitoring screening progress, and ensuring timely completion of all checks to support a smooth onboarding experience.
  • Client/ Supplier experience. Communicate effectively with stakeholders and third parties, providing timely updates and ensuring responses are delivered within agreed-upon timeframes.
  • Continuous improvement. Support process reviews to identify areas for enhancement and contribute to updating operational manuals and process documentation.
  • Team collaboration. Collaborate effectively within the team to achieve common goals, including meeting Service Level Agreements (SLAs) and Key Performance Indicators (KPIs).
  • Knowledge sharing & support. Facilitate training for new team members, providing guidance on processes and fostering a supportive learning environment to ensure their successful integration into the organisation.

Skills & Experience

You’ll need to demonstrate:

  • Account-specific admin. Manage administrative tasks tailored to the account to support the effective execution of processes.
  • Proven experience in contingent workforce administration , including pre-employment screening (PES), background investigations (criminal and credit), onboarding, contract lifecycle management, and offboarding is a must. Strong understanding of UK and US contractor engagement types and rate components , as well as relevant regulations such as AWR
  • Skilled in managing candidate checklists, verifying documentation, and ensuring compliance with internal policies and client-specific requirements.
  • High attention to detail and accuracy in documentation, data entry, and reporting.
  • Ability to interpret and communicate data clearly to support decision-making and process improvements.
  • Confident in making timely, well-informed decisions and managing escalations when needed.
  • Confident in managing escalations, resolving issues, and supporting team performance through coaching and knowledge sharing.
  • Strong organisational skills with the ability to prioritise tasks, work efficiently under pressure, and meet deadlines.
  • Proactive and self-motivated, with the ability to work independently and at pace.
  • Collaborative team player who shares knowledge, supports colleagues, and contributes to a positive team environment.
  • Open to learning and continuous development (growth mindset).
  • Excellent communication skills in English (written and spoken), with the ability to manage stakeholders and resolve queries effectively.
