Job Description THE CHALLENGE Assists in administrative duties which may include but not limited to handling building gatepass, work permit, phone calls, e-mails and mailing processes. Ensures cleanliness and orderliness of office common areas and small offices. Keeps track of Conference Room/Meeting Rooms schedule. Takes Minutes of Meeting and updates internal web page and spreadsheet. Coordinates with Admin office for office issues such as but not limited to: elevator, Floor Comfort Rooms, A/C, Parking Slots. Ensures timely processing of all necessary government permits and safekeeping of e-files. Acts as Petty Cash Custodian, ensuring that receipts and transactions are in accordance with the standards set by the Company. Acts as the Welcome Assistant/Receptionist and ensures that visitors are attended to. Assists VIPs, Colleagues, and Clients with their needs such as but not limited to booking flights, restaurant reservations, etc., ensuring that they are comfortable during their stay. Acts as Procurement Assistant and helps in looking for at least 3 suppliers/contractors per requirement. Monitors Preventive maintenance with the end goal of cost saving for repairs and longer use of equipment. Conducts periodic rounds to ensure that office house rules are followed, as well as physical security and clear desk policy, and issues necessary notices to employees to explain. Acts as champion for Health & Safety when on duty. Manages supplies inventory, monitoring and reordering as necessary. BCP in charge in case of unwanted visitors. Coordinates with Head Office for office reportorial requirements. Qualifications YOUR PROFILE Must have a strong but pleasing personality. Motivated self-starter, preferably a graduate of Business Management/Communication and Arts or equivalent certification and experience. Good command of both written and spoken English, able to communicate clearly with others. Flexible with regards to schedule, especially night shifts.
