Job Requirements Executive Support Oversee and optimize executive calendars, ensuring seamless scheduling of meetings, appointments, and travel accommodation and itineraries. Manage incoming communications by screening and prioritizing emails, calls, and correspondence to streamline decision‑making. Draft, revise, and format high‑quality documents, presentations, and reports for both internal and external audiences. Coordinate all aspects of meeting logistics, including agenda preparation, minute‑taking, and follow‑up actions. Uphold strict confidentiality and demonstrate professionalism in handling sensitive information. Act as the primary liaison between the executive and internal teams, clients, and external stakeholders. Compose and respond to communications on behalf of the executive, maintaining tone and intent. Promote effective cross‑functional collaboration and ensure consistent messaging across departments and partners. Administrative & Operational Support Maintain organized systems for files, records, and documentation to ensure easy access and compliance. Provide support in project coordination, including timeline tracking and milestone management. Assist with expense reporting, budget monitoring, and financial documentation. Execute general office tasks to ensure smooth day‑to‑day operations and executive efficiency. Support the marketing team and actively participate in company marketing initiatives to contribute to brand awareness, client engagement, and promotional campaigns. Perform ad‑hoc tasks as assigned to support the company’s operational and strategic needs. Qualifications Bachelor’s degree in Business Administration, Management, or any related field. 5+ years of experience as an Executive Assistant, Executive Secretary, or Department Secretary. Exceptional written and verbal communication skills. Strong knowledge of administrative and office management practices. Excellent organizational, time‑management, and multitasking abilities. Discretion and confidentiality are essential. Acts with initiative and responsibility, approaching challenges with an owner’s mindset. Skills Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), calendar management tools, and collaboration tools (e.g. Zoom, Teams, Google Workspace) Familiarity with project management tools (e.g. Asana, Trello, Monday.com). Excellent communication and interpersonal skills. Good command of the English language, both oral and written, with the ability to convey information clearly and professionally to clients. High level of integrity and professionalism. Customer‑focused. Resourceful, creative, detail‑oriented, and organized, with the ability to meet deadlines efficiently. Innovative mindset and a passion for continuous learning. Adaptable and quick to learn new approach to improving tasks.
