Job Summary We’re looking for a highly organized, proactive, and detail-oriented Operations Manager to work directly with the Founder & CEO across two key areas: A high-visibility client account supporting a nationally recognized entrepreneur and industry leader Internal business operations as we refine systems and scale sustainably You’ll ensure systems run smoothly, timelines stay on track, and vendors remain aligned — enabling seamless execution across both client and internal projects. This role supports the operations behind a well-known entrepreneur and marketing leader whose brand spans conferences, a top-rated podcast, an award-winning agency, a bestselling book, and a growing portfolio of media and speaking engagements. This is not an entry-level administrative role. It blends project coordination, operational management, and cross-functional communication. You’ll collaborate directly with the Founder and internal teams across Sales, Production, and Social — helping maintain clarity, structure, and momentum in a fast-paced environment where adaptability and precision are equally important. Key Responsibilities Client Operations Manage timelines, deliverables, and logistics across internal teams and external vendors (web, video, social, PR, events, etc.) Maintain accurate project trackers and editorial calendars Route creative deliverables and feedback between teams Track vendor invoices, renewals, and contracts Coordinate logistics for events, speaking engagements, and media appearances Quality-check creative deliverables before release to ensure accuracy and brand alignment Prepare biweekly and monthly performance reports and updates Internal Operations Maintain and optimize internal systems (project management tools, trackers, dashboards, SOPs) Build and manage a shared editorial calendar across client and internal initiatives Document recurring workflows and streamline processes for efficiency and clarity Support podcast guest sourcing and vendor coordination as the agency scales Conduct quarterly system audits to identify inefficiencies and improvement opportunities General Operations & Communication Draft meeting agendas, notes, and follow-ups Keep updates centralized and action items visible within the project management platform Proactively identify blockers, bottlenecks, and potential risks Maintain confidentiality and professionalism across all communications What We're Looking For 2–4 years of experience in project coordination, operations, or marketing operations Excellent organizational and follow-through skills — you take ownership and deliver without reminders Strong written and verbal communication; clear, professional, and composed Proficiency with Google Workspace, Notion or ClickUp, Slack, and Google Drive Exceptional attention to detail and ability to self-manage Comfortable managing multiple brands or projects simultaneously Emotionally intelligent and able to balance urgency with diplomacy Able to work on the US Timezone Work Schedule Monday to Friday 10:00 PM – 6:00 AM Manila Time (may change depending on the business need) Work Location Home-based Should have a strong internet connection (minimum of 20 MBPS) Should have own laptop/pc (minimum of i5 8GB) Background Check Note As part of our recruitment process, we conduct a background check on all hired candidates.
