The Role We are seeking a highly organized and proactive Executive & Personal Assistant to support multiple founders and senior leaders in a fast-paced, high-growth environment. This role combines traditional executive support with personal assistant responsibilities, ensuring the leadership team remains focused, efficient, and well-prepared across business and personal priorities. You will manage complex calendars, coordinate extensive domestic and international travel, and provide polished logistical support that enhances both operational effectiveness and executive productivity. This position requires a candidate who thrives in fast-moving environments, exercises exceptional judgment, and brings professionalism and composure under pressure. Key Responsibilities Calendar & Coordination Manage complex, multi-time-zone calendars for four senior leaders. Schedule and prioritize meetings, 1:1s, leadership sessions, and investor-related calls. Anticipate conflicts, proactively resolve scheduling overlaps, and communicate changes. Prepare agendas, materials, and summaries for internal and external meetings. Document and track action items, ensuring timely follow-ups. Travel & Logistics Plan and book comprehensive domestic and international travel itineraries (flights, hotels, ground transport, and visas). Support executives with day-of travel changes, time zone adjustments, and updated itineraries. Coordinate logistics for offsites, retreats, and investor events (venue sourcing, scheduling, and last-minute adjustments). Administrative & Operational Support Draft, track, and manage contracts, NDAs, and insurance documentation via DocuSign. Support expense reporting, reimbursements, and vendor communications. Maintain accurate records and workflows in tools like Notion, Google Workspace, and Slack. Manage inboxes, monitor key communications, and surface priorities to executives. Prepare reports, summaries, and presentations as needed. Personal Support Provide confidential assistance for light personal and household logistics, scheduling, and travel. Handle sensitive information with discretion and professionalism. Ideal Candidate Profile 5+ years supporting senior executives or founders in fast-pace, high-growth, or startup environments. Strong experience in calendar management and international travel coordination. Highly proficient in Google Workspace (Gmail, Calendar, Sheets, Docs), Slack, Notion, and DocuSign. Excellent verbal and written communication skills. Strong organizational and time-management abilities; capable of juggling competing priorities. Exceptional judgment and discretion when handling confidential information. Comfortable working PST hours and adapting to extended hours during international travel. Preferred Qualifications Experience supporting multiple C-level executives simultaneously. Familiarity with board meeting preparation and governance. Background in clean energy, logistics, technology, or venture-backed startups. Experience planning team offsites or investor events.
