Executive Assistant to the CEO (CPA Preferred) Elevate Pros, Inc. (Boutique BPO) is seeking a qualified Executive Assistant to the CEO (CPA Preferred) for its client, a family‑owned Texas‑based automotive services company. This role reports directly to the CEO/Owner. Position Overview We are looking for a highly skilled Executive Assistant who will provide high‑level executive and financial support. The role combines the strategic oversight of a senior accountant with the discretion and organizational excellence of an executive assistant. The ideal candidate will be a trusted advisor to the CEO, leveraging strong financial acumen and business judgment to assist in decision‑making, reporting, and project execution. Key Responsibilities Executive & Strategic Support: Proactively manage and optimize complex schedules, ensuring the CEO is prepared for meetings, travel, and critical business decisions. Provide high‑level administrative and analytical support, ensuring efficiency across multiple store locations. Collaborate with the CEO and senior leadership on strategic initiatives, leveraging data‑driven insights. Work closely with finance and accounting teams to track financial performance, budgets, cash flow, and financial forecasts. Assist in preparing financial reports, executive summaries, and operational analyses. Create and maintain an organized system for storing documents. Project & Business Operations Support: Own and manage a variety of special projects, ensuring on‑time delivery and successful execution. Analyze key business metrics and market trends to provide insights that inform strategic decisions. Track deliverables, deadlines, and performance indicators to ensure alignment across teams. Serve as liaison between the CEO and internal/external stakeholders, ensuring effective communication. Relationship & Stakeholder Communications: Build strong relationships with key partners, executives, and stakeholders, ensuring seamless collaboration. Handle sensitive financial and strategic information with confidentiality and integrity. Represent the CEO professionally, facilitating effective communication across teams. Travel & Event Coordination: Manage complex travel arrangements, ensuring seamless execution for business trips and engagements. Oversee logistics for board meetings, investor presentations, and executive events. Technology & Productivity Optimization: Leverage AI tools, automation platforms, and data‑driven systems to improve efficiency. Identify and integrate cutting‑edge software solutions to streamline workflows. Utilize Excel, financial modeling tools, and business intelligence platforms to support decision‑making. Other High‑Level Support: Provide HR‑related support as needed, such as benefits administration and general HR administration. Key Performance Objectives First 2 Months: Develop a strong understanding of company operations, financial systems, and executive priorities. Establish trust and communication flow with leadership and key stakeholders. First 4 Months: Lead financial reporting support for leadership reviews and begin managing special projects. Strengthen knowledge of business operations and regulatory requirements. First 6 Months: Become a key strategic resource for the CEO, providing operational and financial insight that supports company growth. Qualifications (Required) Bachelor’s degree in Accounting, Finance, or related field. Certified Public Accountant (CPA). Minimum 3 years of accounting experience, including full‑cycle accounting. Minimum 6 years of professional experience. Proven experience supporting C‑suite or upper‑level executives. Experience with US mid‑size or large multi‑location companies. Exceptional communication and interpersonal skills. Highly organized, proactive, and able to manage multiple priorities with discretion. Advanced proficiency in Microsoft Excel and Word. Comfortable working independently in a fast‑paced environment, handling ambiguity with professionalism. Strong business judgment, project management, and problem‑solving skills. Preferred Qualifications Background in automotive services, retail services, or real estate accounting. Public accounting experience or exposure to executive‑level reporting. Prior experience managing sensitive or confidential projects. Work Environment Full‑time, remote, independent contractor status. Aligned to the organization’s Central time zone hours (8 AM–5 PM CST), Monday through Friday. Candidate must agree to hold this role exclusively, with no other projects or clients, and no subcontracting of work. Candidate must own a personal laptop and at least one additional monitor exclusively for work. Must have a backup device and a backup internet connection for continuity. Compensation & Benefits Competitive independent contractor pay commensurate with experience. Vacation pay. US holiday pay.
