Assist in administrative and clerical tasks including database management, report preparation, and monitoring maintenance and consumables.

Your Role

Key responsibilities include:

  • Maintaining, monitoring, and updating database systems, files, and inventory.
  • Preparing weekly, monthly, and annual summary reports on preventive maintenance, sales, delivery, accrual, billing, and related transactions.
  • Compiling, copying, sorting, and filing records of office activities, business transactions, delivery receipts, liquidations, and preventive maintenance accomplishments.
  • Computing, recording, and proofreading data such as invoices and official reports.
  • Answering telephones, directing calls, and taking messages.
  • Monitoring and encoding documents of maintenance requests, service reports, and consumables installed at sites.
  • Monitoring fuel deliveries, preparing requests for approval and billing, coordinating with technicians/haulers, and preparing cash advances for fuel purchases.
  • Monitoring consumables deliveries and preparing request forms for billing purposes.
About You

The company is looking for:

  • Knowledge of administrative and clerical procedures and systems, including word and number processing, managing files and records, transcription, and designing forms.
  • Understanding of customer and personal service principles, including needs assessment, quality standards, and customer satisfaction evaluation.
  • Basic command of the English language, rules of composition, and grammar.
  • Education in Office Secretarial or any related course.
  • At least six (6) months of relevant experience.
