Your Role

The tasks below outline the primary responsibilities of the Purchasing Officer. From time to time, the purchasing officer will be required to assist and support other tasks within the In-life services team.

  • Generation and dispatch of accurate purchase orders to automotive supply partners across Australia.
  • Follow up on order acceptance with suppliers, ensuring all information is captured.
  • Follow up on weekly delivery confirmation reports for all outstanding orders to ensure all date changes are captured in Miles, and communication is sent to the customer and relevant sales teams.
  • Upon vehicle delivery, follow up to receive completed paperwork, including the driver’s signature on the Delivery confirmation.
  • On receipt of complete paperwork, match the invoice to Miles’ data. If any discrepancy higher than $100, raise an incident through the internal process.
  • Follow up on internal incidents to ensure they are completed in a timely and accurate manner.
  • Processing of invoices and other relevant documentation via agreed processes and timeframes.
  • Manage email-based requests, such as registration paperwork, third-party fit-out paperwork, and suppliers.
  • Following up third-party suppliers with invoices, issues with deliveries, delivery address, payment requests, interstate transport, and delivery of vehicle.
  • Daily actioning of automated task reports.
What You Need Skills & Experience Preferred
  • Highly analytical with a high level of accuracy and attention to detail.
  • Results and customer focus – able to process large volumes of work while remaining responsive to customers and delivering quality outcomes.
  • Excellent oral and written communication skills.
  • Planning and coordinating – able to plan for delivery against required timeframes.
  • Team player with willingness to assist others where necessary.
  • Ability to focus and process high volumes of work against deadlines to ensure team efficiency.
  • Ability to resolve issues under pressure and during high workload or change.
  • Minimum of 1 year of experience in professional administration or customer service.
  • Experience working with automotive dealerships.
  • Experience in document processing and/or working with a workload management tool.
  • Any relevant qualifications relating to advanced analytics.
