Project Field Assistant

Job Summary
The Project Field Assistant contributes to the achievement of project objectives by providing field-level and back-office support to the Project Manager and Project Field Coordinator. The role combines assistance in community engagement, documentation, and monitoring with administrative and finance-related support to ensure smooth implementation of project activities in compliance with PBSP, UNDP, and EU requirements.
Principal Duties and Responsibilities- A. Field Support and Coordination
- Assist in coordinating project activities with LGUs, barangays, civil society groups, and community stakeholders.
- Support field missions, consultations, trainings, and meetings by handling participant coordination, logistics, and documentation.
- Collect and consolidate attendance, feedback, and monitoring data from field activities.
- Document activity highlights, challenges, and lessons learned for reporting and knowledge sharing.
- Ensure that GEDSI principles are integrated into project activities at the community level.
- B. Administration and Finance Assistance
- Work closely with the Project Field Coordinator and Administrative/Finance Specialist in preparing purchase, payment, cash advance, and reimbursement requests.
- Assist in organizing and submitting liquidation reports and ensuring completeness of supporting documents.
- Help facilitate procurement of supplies, equipment, and services in line with PBSP, UNDP, and EU policies.
- Maintain filing of project documents, including digital and hard copies of activity records and financial transactions.
- C. Logistics and Event Support
- Support logistical arrangements for workshops, trainings, and events (venue booking, materials preparation, catering, and transportation).
- Provide on-site assistance to ensure activities run smoothly.
- Coordinate with PBSP Shared Services for administrative arrangements.
- D. Reporting and Documentation
- Draft meeting minutes, activity reports, social media posts, invitations, and other correspondence as needed.
- Provide inputs for project dashboards, monitoring tools, and stakeholder databases with disaggregated participant data.
- Contribute to periodic progress reports, sustainability plans, and project knowledge products.
- E. Other Tasks
- Perform other related tasks as may be assigned by the Project Manager.
Education:
Bachelor's degree in Development Studies, Environmental Science, Business Administration, or related fields.
Experience:
At least 2 years of experience in project support, community development, or related work. Experience in administrative or finance roles is an advantage. Experience working with LGUs, civil society organizations, and community groups is desirable. Team player. Demonstrated ability to build relationships among a broad range of stakeholders.
Skills and Competencies:
- Strong coordination, organizational, and teamwork skills.
- Knowledge of basic financial processes (liquidation, procurement, reimbursements).
- Proficient in Microsoft Office and Google Suite.
- Good communication skills in English and Filipino.
- Knowledge of circular economy, waste management, and GEDSI principles is an advantage.
- Knowledge of circular economy, informal waste sector, green livelihoods, and GEDSI principles is an advantage.
- Advanced filing skills.
- Proficient in English and Filipino.
