Responsibilities This role is essential for processing bookkeeping transactions and administrative tasks accurately to ensure the company's records are correct and that customers and suppliers are invoiced and paid on time. Bank and Cash: Daily allocation of payments from accounts customers; allocate payments for cash sale customers using Xero, OnTime 360, NAB Transact, and CX team emails; daily reconciliation of two bank accounts and the credit card account using Xero; attach supplier bills to credit card payments in Xero. Debtors (Customers): Create and email approximately 10 cash sale invoices daily in Xero; respond to about 10 customer email queries weekly with support from CX and Operations team; review and update credit applications daily; draft about one credit note per week and follow up with five overdue debtors daily; maintain Xero contacts and Excel mapping tables; on Mondays, prepare around 300 draft invoices in Xero format for Accountant review, transforming data from weekly job data using a checklist. Creditors (Suppliers): Enter bills daily into Xero with correct due dates, ledger accounts, and tracking codes; reconcile supplier statements and coordinate draft bill approvals (around 3 per day); file supplier emails in Outlook as they progress through the supplier process stages. Operators (Courier Drivers): On Mondays, download Operator reports from OT360 to OneDrive folders; on Wednesdays, print Operator Set Off Statements from Xero, save and format using Adobe Editor; on Thursdays, attach reports to Operators' customer invoices. Customers – Onboarding: Assist with welcoming and onboarding customers using templates. Qualifications Minimum of a Diploma or Certificate IV in Bookkeeping. Minimum three years' experience in bookkeeping in a similar role. Skills & Experience Intermediate to advanced Microsoft Office skills (Word, Excel, PowerPoint and Outlook). Familiar with and competent on Xero basic level (Dashboard, Invoices, Bills, Contacts). Experience with Adobe Acrobat and/or DocuSign and/or OnTime 360 and/or NAB Transact and/or Pipedrive will be highly regarded. Excellent verbal and written communication. Organized and able to meet deadlines. High level of attention to detail with high accuracy. Natural mathematical ability to manage the calculations of GST (inc and exc) and credit card surcharge mark-ups, essential for cash sale invoices and bank reconciliations. Good sense of humour to ensure a good fit with the team. A naturally curious and alert mind that will want to understand our business and know how their work fits into the bigger picture, creating job satisfaction and helping to detect team errors.
