We are seeking a highly reliable and structured Executive Virtual Assistant to act as the operational right hand to the founders. The purpose of this role is to ensure the ecosystem runs efficiently across all projects, meetings, events, and client relationships. You will bring structure, reliability, and calm execution to a fast‑moving, international environment, freeing up the founders to focus on growth, strategy, and client service. Part Time: ~60 hours/month. Remote: fully remote, CET working hours. Engagement Type: Independent Contractor. Monthly Rate: $400–$500 (based on a 15‑hour workweek; flexible depending on experience). What You'll Be Doing Executive & Administrative Support Manage complex calendars, calls, and travel arrangements across the company and related entities Draft polished follow‑up emails, meeting summaries, and reminders Maintain well‑structured digital files and contact databases in Google Drive Keep task trackers and progress dashboards updated (Google Sheets / Notion) Handle light personal administration (e.g., doctor appointments, online research) Event & Project Coordination Research and compare venues and suppliers, compiling detailed cost and contact data Manage guest, speaker, and sponsor lists; coordinate RSVPs and follow‑ups Support the preparation of presentations, briefings, and post‑event summaries Liaise with partners and service providers to ensure seamless execution Communication & Liaison Serve as the main administrative point of contact for internal and external scheduling Coordinate with the marketing specialist to align on LinkedIn campaigns and content planning Draft and send well‑written, professional correspondence on behalf of the company when required Organization & Continuous Improvement Proactively suggest small process improvements and simple automations (e.g., using ChatGPT, Google Workspace tools, or Zapier)Help establish a clear operational system for the founders (files, checklists, pipelines)Track all deliverables and ensure nothing falls through the cracks Who You Are 5–10 years of experience as an Executive Assistant or Operations VA supporting founders, CEOs, or partners—ideally within consulting, finance, or tech/startup environments Fluent in English (French or German is a plus) Excellent written communication skills and high attention to detail Proven ability to work autonomously and handle sensitive information confidentially Expertise with Google Workspace (Drive, Docs, Sheets, Calendar, Gmail) Comfortable using Canva, LinkedIn, ChatGPT, and similar AI/automation tools Strong time management and prioritization skills Recruitment Process Initial Interview (HR/Recruiter) Final Interview (Client) #J-18808-Ljbffr
