
Administrative Specialist/Assistant

- Manage documentation, including contracts, permits, invoices, and employee records.
- Assist project teams by preparing reports, organizing meetings, and tracking project timelines.
- Coordinate with suppliers, contractors, and other stakeholders for procurement and logistics.
- Monitor office inventory and order supplies as needed.
- Ensure compliance with company policies, safety standards, and regulatory requirements.
- Handle payroll processing, timesheets, and employee attendance tracking.
- Support recruitment efforts and onboarding for new hires.
- Address inquiries from clients, contractors, or vendors in a professional manner.
- Prepare and submit regular administrative and financial reports to management.
- Proven experience as an admin officer, preferably in the construction or engineering sector.
- Strong organizational and multitasking skills to handle multiple projects and deadlines.
- Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint) and office management tools.
- Excellent communication and interpersonal skills to liaise with clients, staff, and vendors.
- Attention to detail and the ability to maintain accurate records.
- Knowledge of construction industry operations, including permits and documentation, is an advantage.
- Basic financial and payroll management skills.
- Problem-solving abilities and the capacity to work under pressure in a fast-paced environment.
- A bachelor’s degree in business administration, management, or a related field is preferred.
