Role Details Philippines | Full Time | Remote Hiring Manager: Erin Grosso, VP of Talent Purpose The purpose of this role is to own the following admin tasks: recruiting coordination, interview scheduling, calendar management, offer letter creation, and some new hire onboarding tasks. The mission is to help expedite hiring efforts, along with providing support to our CEO and Executive team as needed. Job Description We are seeking a dynamic Recruiting Operations Coordinator to join our team in a versatile role that combines talent acquisition, employee onboarding, and executive support responsibilities. This position is perfect for a detail‑oriented professional who thrives in a fast‑paced environment and enjoys wearing multiple hats to support our growing organization. Responsibilities Talent Acquisition & Recruiting: Lead recruiting efforts for entry‑to‑mid level positions across the US, Mexico, and the Philippines. Identify, attract, and secure exceptional talent that will drive our company’s growth. Source, screen, and evaluate candidates across multiple regions (US, Mexico, and the Philippines) using various recruiting channels. Partner with hiring managers to understand the position requirements and ensure alignment with their core competencies and skill sets. Manage the full recruiting lifecycle from initial outreach to offer negotiation. Build and maintain talent pipelines for both immediate and future needs. Assist with recruitment efforts for other business functions as needed, based on hiring volume and business needs. Track recruitment metrics and provide regular reports and updates on hiring progress via ATS (Workable) and other hiring trackers (Slack and Google Sheets). Ensure a positive candidate experience throughout the hiring process. New Hire Onboarding: Coordinate pre‑boarding activities, including new hire onboarding prep emails, scheduling company meet & greets, coordinating laptop delivery, and any other onboarding processes. Facilitate new hire orientations and first‑day experiences. Ensure completion of all required paperwork, background checks, and compliance documentation. Create and maintain onboarding checklists, welcome packets, and training schedules. Partner with IT, HR, and department managers to ensure smooth new hire integration. Track onboarding metrics and continuously improve the new hire experience. Executive & Administrative Support: Manage executive calendar scheduling and coordinate complex meetings across multiple time zones. Support special projects and initiatives as assigned by leadership. Maintain confidential employee information with the highest level of discretion. Requirements 5+ years of recruiting experience for a US‑based B2B SaaS company. Demonstrated success in recruiting across international markets, particularly in the US, Mexico, and the Philippines. Experience with applicant tracking systems and recruitment tools (LinkedIn Recruiter, Workable, Gusto, etc). Strong sourcing skills and knowledge of various candidate attraction methods. Problem‑solving mindset with the ability to adapt recruitment approaches to different markets. Proven ability to recruit top‑tier talent. Excellent communication skills. Very effective in a remote‑work environment. Preferred: Previous experience in a blended TA/Executive Admin role.
