Position: Records Specialist
Location: Fully Remote
Job Type: Full-Time
Monthly Rate: 40,000 - 45,000
Employer: Satellite Teams working for a well known personal injury law firm in the United States. This role requires high quality records related support, confidentiality, timeliness and accuracy. The candidate should have high attention to detail, the ability to multitask and prioritize urgent tasks under heavy workload, and perform well under pressure. Some special projects may be assigned as needed with direction from management or team leaders.
Responsibilities- Request bills and records and provide attentive, efficient service to clients.
- Resolve complaints from clients and employees.
- Run reports to ensure department and client targets are met.
- Ensure all files sent to demands have the necessary documentation.
- Ensure staff members follow policies and procedures.
- Maintain good relationships with providers and sign liens.
- Maintain and secure records in accordance with Firm policies and procedures.
- Receive and process files for central filing.
- Assemble files in client/matter number order and organize the filing system.
- Research the location of documents as requested by office management and clients.
- Assist in converting incoming lateral client/matter files into the Firm-wide records management system.
- Manage file inventories and handle file retrieval requests.
- Select procedures to be followed and interpret, select, or code items from various document sources.
- Fresh graduates with a Bachelor’s degree in any relevant field are welcome to apply.
- At least one year of law firm experience with records is preferred.
- Background in nursing or any medical field that enables review of medical records is preferred.
- Well organized with strong attention to detail; good analytical and multitasking abilities.
- Strong written and verbal communication skills; knowledge of Spanish is a plus.
- Proficiency with Internet, spreadsheet, and word processing software (Microsoft Office, Word, Excel, PowerPoint, Outlook, Teams; SAP and Adobe Acrobat).
- Ability to handle confidential and sensitive information with discretion and tact.
- Ability to work independently or in a team to complete projects efficiently.
- Ability to adhere to law office procedures is a plus.
- Ability to maintain composure and professionalism under pressure.
- Active knowledge of medical terminology is a plus.
- Knowledge of Records Management principles, Records Retention principles & processes, and audit and data entry best practices.
