Job Description
Primary Responsibilities
- Assist in identifying and evaluating potential suppliers, negotiate prices, terms and secure most cost-effective options for the organization.
- Process purchase requisitions and purchase orders and ensure timely delivery of goods and services.
- Monitor order status and address issues related to delays and discrepancies.
- Maintain accurate records of purchases, pricing and supplier performance.
- Build and maintain strong relationships with suppliers.
- Evaluate supplier performance and provide feedback for improvement to ensure quality standards and delivery schedules.
- Monitor and analyze procurement costs to identify cost-saving opportunities.
- Ensure compliance with company policies and procedures.
Specific Responsibilities
- Handle purchasing categories in Food and Non-Food (e.g., small wares, IT equipment and accessories, marketing supplies, office and admin supplies, service providers) as assigned by the Supply Chain Manager.
- Source items and vendors based on sourcing policy; interface between supplier and entity with respect to specifications and budgets.
- Maintain comprehensive records of supplier contracts, agreements and communication.
- Prepare purchase requisitions and keep management informed about status of orders and procurement activities.
- Prepare purchase orders in line with final negotiations with selected suppliers and organizational targets.
- Closely monitor orders to avoid past-due issues and ensure latest delivery dates are available.
- Track and expedite orders to ensure timely delivery and minimize stockouts.
- Resolve discrepancies in order quantity, pricing and delivery schedules with suppliers.
- Develop and maintain knowledge of purchasing concepts and skills.
- Develop ideas and strategies to improve operational efficiency and support continuous improvement.
- Ensure a professional and consistent approach in supplier relationships.
- Secure logistics transport for samples needed by R&D and for special trips of items.
- Perform regular inventory audits to ensure accuracy and prevent stock discrepancies.
- Ensure compliance with company guidelines and purchasing policies.
- Contact suppliers to resolve price, quality, delivery or invoice issues.
- Perform other tasks as assigned.
Work Experience
- 3+ years purchasing experience, preferably in FMCG, QSR or manufacturing.
- Background in Supply Chain, Logistics and international trade.
Educational Attainment
- Educational background in Industrial Engineering or equivalent, Business Administration, Economics or Finance.
Project and Contracts Management
- Secure documentation and filing of purchasing processes, policies and supplier contracts.
- Provide project management support as a coordinator; basic understanding of supply chain processes.
- Computer literate (MS Office; basic Excel); experience with purchasing ERP or order management system.

The Supply Chain Analyst will monitor, analyze and ensure availability of packaging and printing materials, aiming to improve cost-efficiency and data accuracy, coordinating with Procurement, Finance and Production.

- Monitor daily packaging material inventory and validate system stocks.

- Oversee on-time product deliveries across all client brands; ensure SLAs are reviewed and met across transport and stores.
