Visit.org is seeking a proactive and detail-oriented Operations Coordinator, Supply Team to join our remote workforce. This contract position (40 hours/week, invoiced monthly) is based in the Philippines. The role requires work from 6:00 am to 2:00 pm Eastern Time, with some flexibility in schedule.

Responsibilities
  • Supplier Information Management: Create and maintain a system to ensure the supplier database is up-to-date with accurate information; regularly update details for existing suppliers and add new ones as needed
  • Experience Content Unit Library: Develop and maintain a system to keep the experience content unit library current, reflecting the latest information from suppliers; add new content units as they become available
  • Information Management: Implement systems to monitor and verify that both the supplier database and the content unit library are complete and current
  • Experience Readiness: Oversee and update details for upcoming bookings, coordinating with the team to prepare content units and ensure readiness on time
  • Process Optimization: Streamline and improve departmental systems and workflows using tools like Salesforce, Jotform, and Monday.com
  • Project Management: Lead and implement special projects with the Supply Operations team to develop new systems and improve existing processes
  • Reporting & Data Visualization: Use Salesforce or other tools to generate reports and data visualizations to support data-driven decisions
  • Resource Development: Create and maintain a data map, resource library, playbooks, and other tools to improve easy access to resources and team efficiency
  • General Operational Support: Assist with other operational tasks as needed to support evolving team needs
Requirements
  • Fluency in English
  • 2+ years of professional experience with information management in a similar capacity
  • Ability to build reports and dashboards in database systems (HubSpot; Metabase preferred)
  • Ability to take initiative in ambiguous situations and drive next steps
  • Extremely detail-oriented with strong organization and prioritization skills
  • Comfortable asking clarifying questions about tasks or systems
  • Problem-solving mindset with creativity and a keen eye for process issues and starting new projects
  • Excellent written communication and interpersonal skills when engaging with nonprofit and organization partners
