Key Responsibilities of the Legal Assistant Client Onboarding & File Management Legal Document Preparation & Templates Deadline & Task Management Administrative & Internal Support Why Are They Hiring a Legal Assistant? Our client is hiring a Legal Secretary to provide administrative and document support to their growing legal team. As the firm scales, they need someone who can manage the essentials—client onboarding, file preparation, and legal templates—with accuracy and reliability. You’ll be a crucial player behind the scenes, keeping systems organized and ensuring every client experience runs smoothly. If you’re detail-oriented, organized, and eager to grow within a boutique legal environment, this is your opportunity to learn the industry from the inside out. Qualifications: Must-Haves: Exceptional attention to detail—zero tolerance for typos or errors. Highly organized, reliable, and focused during work hours. Resourceful problem‑solver—uses guides, SOPs, and tools before asking for help. Clear communicator, both written and verbal. Proficiency in Microsoft Word and Outlook. Accuracy in handling sensitive data (names, dates, emails, numbers). Nice-to-Have: Legal Administration Background – Not required, but a huge plus if you’ve worked in a law firm or handled legal documentation. Responsibilities of the Legal Assistant: Your responsibilities include: Client Onboarding & File Management Prepare new client files and input details into the firm’s management system Draft and issue engagement letters, client agreements, and fee quotes Track client onboarding progress and ensure all signed documents are returned and filed Keep digital and physical files organized, accurate, and up to date Legal Document Preparation & Templates Complete and format legal templates such as contracts, wills, agreements, and correspondence Review documents for accuracy in names, dates, and details before submission Maintain and update firm templates to ensure consistency and compliance Proofread all documents to ensure they meet professional legal standards Deadline & Task Management Record and track key contract and case deadlines Update shared calendars and send reminders to the legal team Follow up with clients for missing information or required actions Administrative & Internal Support Assist with general administrative tasks, document storage, and data management Manage task instructions received via email or WhatsApp and confirm completion Support smooth communication between team members and maintain workflow accuracy Troubleshoot basic tech or document issues using provided guides and online resources Growth & Process Improvement Once core tasks are mastered, assist in refining procedures and improving efficiency Contribute to system updates, template enhancements, and process documentation Want to Know More About the Client?
