Overview

The Procurement Associate provides coordination, administrative services and research to support efficient and effective procurement services. The role reports to the Procurement Officer with overall guidance from the Head of Supply Chain and requires independent problem solving and initiative in daily activities.

Responsibilities
  • Provide operational coordination and administrative services to support procurement projects and activities, following standard processes.
  • Identify and recommend potential suppliers and compile data to support supplier selection, ensuring standard processes are followed.
  • Review, record and prioritise purchasing requests; support requisitioners to procure appropriate goods and services at the lowest cost to WFP.
  • Contribute to negotiations with new suppliers on terms and conditions of orders, alongside a senior officer, to obtain best terms and lowest costs for WFP.
  • Prepare Purchase Orders, contracts and supporting documentation for approval; approve purchases within delegated authority to enable swift procurement.
  • Resolve issues related to delivered goods, liaising with all parties to ensure timely and accurate resolution.
  • Research, collect and analyse data to produce reports for informed decision-making by Procurement Officers and for consistent stakeholder information.
  • Maintain and develop databases and records to ensure accurate, organised information available for reporting and reference.
  • Maintain relationships with internal counterparts to align procurement activities with wider programmes and food assistance needs.
  • Follow standard emergency preparedness practices to enable rapid response and deployment of food and resources during crises.
  • Prepare annual procurement reports and plans; monitor implementation and keep stakeholders informed for timely action.
  • Support implementation of sourcing strategy and e-procurement tools.
  • Perform other related duties as required.
Qualifications & Experience Education:
  • Secondary education with specialized certification in procurement or related training.
  • Bachelor’s Degree in Business or Public Administration, Economics, Political Science and Social Sciences or closely related field is desirable but not required.
Experience:
  • At least 6 years of experience in procurement management and services.
  • Experience with office software packages (MS Word, Excel) and web-based management systems.
  • Experience conducting supplier research/assessment.
  • Strong coordination experience with other operations (e.g., logistics), retailers, wholesalers and traders.
Language:

Fluency in both oral and written English and the local language of the duty station.
