Overview Position: Executive Assistant – Sales FocusJob Type: Full-time (40 hours/week)Location: Philippines (Remote, EST hours)Salary: $6.50-$8.00/hr To apply, please fill out our direct application form: We’re looking for an exceptional Executive Assistant (Sales Focus) to support our co-founders in daily operations, client communication, and sales coordination. This role is ideal for someone who is highly organized, confident in professional communication, and comfortable working in a fast-paced, entrepreneurial environment. You’ll handle client communications, follow up on leads, manage calendars and meeting invites, and help streamline sales and onboarding activities. You’ll also participate in client calls, helping ensure every interaction is professional and well-documented. Key Responsibilities Executive Support & Communication (40%) Manage inboxes and respond to emails on behalf of the co-founders in a professional and polished manner Draft, edit, and send client correspondence, proposals, and contracts using company templates Schedule and send meeting invites, prepare agendas, and track action items Maintain organized records of communications, meetings, and follow-ups in our CRM Ensure timely responses and proactive communication across all ongoing projects Sales & Client Coordination (40%) Follow up with prospective clients over email and phone to confirm appointments and gather information Participate in client calls and take structured notes or next steps (not leading the calls, but supporting them) Send contracts for e-signature and assist with onboarding setup (Stripe links, documents, etc.) Track client engagement and identify follow-up opportunities Prepare summaries of prospects and active deals for weekly internal reviews Operations & Recruitment Coordination (20%) Liaise with the recruitment team to ensure client needs are accurately captured Help prepare or edit job descriptions based on client or internal requirements Maintain shared spreadsheets, tracking documents, and internal databases Support other administrative or operational tasks as needed to keep the team running smoothly Required Qualifications Exceptional verbal and written English communication skills — must sound polished and professional on calls Strong attention to detail, organization, and follow-through Confident and proactive in managing emails, calls, and client communication Ability to work independently and anticipate team needs Comfortable learning and using tools such as Google Workspace, CRM systems, and AI software Reliable and responsive, with a sense of ownership and accountability Preferred Qualifications 3+ years of experience as an Executive Assistant, Sales Assistant, or Client Success Coordinator Previous experience supporting executives in U.S.-based companies Familiarity with CRM tools (e.g., HubSpot, Copper, or similar) Experience editing client contracts or managing e-signature workflows Comfortable speaking on video calls and handling basic client-facing tasks #J-18808-Ljbffr
