Job Summary:

The Executive Assistant provides high-level administrative support to the General Manager, ensuring efficient management of their schedule, communication, and organizational tasks. This role requires strong organizational skills, discretion, attention to detail, and the ability to handle confidential information with professionalism.

Key Responsibilities:

Executive Support

  • Manage and maintain the executive's calendar, appointments, meetings, and travel.
  • Prioritize and coordinate meeting requests and schedules.
  • Prepare agendas, take minutes, and follow up on action items for meetings.
  • Handle incoming and outgoing communications, including emails, calls, and correspondence.
  • Act as a gatekeeper and first point of contact for internal and external stakeholders.

Administrative Duties

  • Draft, review, and manage emails, reports, presentations, and other documents.
  • Perform data entry, filing, record-keeping, and expense report reconciliation.
  • Manage confidential documents and information securely and discreetly.

Travel & Event Coordination

  • Arrange domestic and international travel, accommodations, and itineraries.
  • Coordinate logistics for events, meetings, conferences, and board sessions.

Project and Task Management

  • Assist in planning and executing special projects and initiatives.
  • Track deadlines, deliverables, and key milestones.
  • Liaise between the executive and internal departments or external partners.

5. Office and Team Support

  • Order office supplies and manage executive's office environment.
  • Occasionally support other senior managers or board members as needed.

Qualifications:

Education:

  • Bachelor's degree in business administration, Management, or related field preferred.

Experience:

  • Minimum 3–5 years of experience in an Executive Assistant or similar role.
  • Prior experience supporting C-suite executives is a strong advantage.

Skills and Competencies:

  • Excellent written and verbal communication skills.
  • Strong organizational, multitasking, and time management abilities.
  • High level of discretion and professionalism.
  • Proficient in MS Office Suite (Word, Excel, PowerPoint, Outlook); familiarity with Google Workspace and other productivity tools is a plus.
  • Ability to work independently and under pressure.
