This is an expanding role within a growing firm. As a small business, we currently require support across both administrative and bookkeeping functions. Initially, this role will be split between the two areas. You’ll be supported and trained by our existing team: Our Australian-based administrative staff will provide training on admin processes. Our accounting team will provide training on bookkeeping tasks. As the firm continues to grow, there will be opportunities for the successful candidate to specialise further – moving into either a more dedicated administrative or bookkeeping position, depending on business needs and your strengths. Key Responsibilities Provide ongoing assistance to the Business Owner with various administrative tasks as they arise. Send completed documents to clients for review and signing. Prepare and send letters and correspondence. Manage client onboarding and offboarding processes. Assist with workflow management to ensure deadlines and client deliverables are met. Contact the ATO on behalf of clients where required. Assist with ASIC lodgements and form preparation. Electronic filing of documents. Assisting with updating business processes and documenting processes. Review and process client receipts and transactions through Hubdoc and Xero. Support reconciliation and coding of accounts as directed by the accounting team. Maintain accurate records and ensure data integrity across all financial systems. Summarise client data into spreadsheets. Qualifications / Skills At least 2 years of experience in bookkeeping and administration roles. Strong attention to detail – accuracy is key across both admin and bookkeeping work. Excellent communication skills – professional and clear communication with both clients and internal staff. Organised and proactive – ability to follow up on outstanding tasks and keep others accountable. Tech‑savvy – comfortable working across multiple platforms such as Xero, Hubdoc, and internal workflow systems. Adaptable – willing to learn new systems and processes as the role develops.
