Purchasing Assistant

Job Summary
The Purchasing Assistant is responsible for supporting the procurement process by sourcing suppliers, preparing purchase orders, monitoring deliveries, and maintaining accurate records of all transactions. This role ensures that the company obtains quality materials, goods, and services at competitive prices and within required timeframes.
Key Responsibilities
Assist in sourcing and evaluating suppliers, vendors, and service providers.
Request and compare quotations to ensure best value and quality.
Prepare and process purchase orders and other procurement documents.
Maintain updated supplier information and price lists.
Track and follow up on orders to ensure timely delivery.
Coordinate with suppliers and internal departments to resolve delivery issues or discrepancies.
Verify invoices and delivery receipts against purchase orders.
Maintain accurate purchasing and inventory records in the system.
Support the Purchasing Officer or Procurement Manager in daily operations and administrative tasks.
Ensure compliance with company policies and purchasing procedures.
Qualifications
Bachelor’s degree in Business Administration, or related field. Undergraduates are welcome to apply.
Strong attention to detail and organizational skills.
Good communication and negotiation skills.
Proficient in Microsoft Office (Excel, Word, Outlook).
Ability to work under pressure and meet deadlines.
Knowledge of purchasing systems or ERP software is an advantage.
