Key Responsibilities
Administrative & Office Operations
Manage daily office operations and administrative workflows
Maintain proper filing systems (physical and digital)
Monitor office supplies, utilities, and service contracts
Coordinate with vendors, service providers, and suppliers
Documentation & Records
Prepare, review, and organize contracts, memos, and internal documents
Track deadlines, permits, licenses, and compliance requirements
Assist in preparing reports, presentations, and correspondence
Maintain confidentiality of company records and information
Coordination & Support
Coordinate schedules, meetings, and appointments of management
Act as point person for inter-department coordination
Assist HR, Accounting, Purchasing, and Operations as needed
Follow up on pending tasks, approvals, and submissions
Compliance & Process Control
Ensure administrative processes follow company policies
Assist in audits, inspections, and government requirements
Help standardize procedures and improve office systems
Qualifications
• Graduate of Business Administration, Management, or related course
• At least 3 years experience in administrative or office support role
• Strong organizational and documentation skills
• Computer literate (MS Word, Excel, email, basic reporting)
• Good written and verbal communication skills
• Can work independently with minimal supervision
• Detail-oriented, discreet, and reliable
Preferred (but not required):
• Experience in construction, logistics, shipping, or industrial companies
• Exposure to ISO, compliance, or audit documentation
