Operations Assistant

This Operations Assistant is responsible for ensuring that the department's communications and other requirements are properly implemented, and that workflow achieves the highest level of efficiency and effectivity. The role involves coordinating meetings, maintaining filing systems, preparing reports, and safeguarding confidential documents. Key responsibilities include communicating with managers, preparing reports, monitoring cash advances, and handling hotel reservations.
- Key Responsibilities:
- Communicate and coordinate with Operations Managers, Area Managers, and other concerned parties.
- Maintain an efficient filing system of all documents.
- Maintain a logbook of all incoming and outgoing official documents.
- Route pertinent memos, documents, and other materials to the proper person/s as needed.
- Type and consolidate reports and other correspondences.
- Prepare snacks for meetings.
- Safeguard the confidentiality of official documents.
- Prepare, monitor, and check for accuracy of cash advance/liquidation/reimbursement of AMs/OM.
- Monitor the movements/transfer of managers; submit notice of transfer/movement to HRD for proper adjustment of manager's benefits.
- Consolidate and compute weighted average of PA ratings of District.
- Handle hotel reservations and airline bookings/tickets of Area and Operations Manager.
- Job Qualifications:
- Bachelor's degree in Business Administration, Management, or any business-related field.
- Proficiency in Microsoft Office applications (Word, Excel, PowerPoint).
- 2-3 years of relevant experience in a similar role.
- Good written and verbal communication skills.
- Strong organizational skills and attention to detail.
- Willing to be assigned in Ayala Business Center, Matina Town Square, McArthur Highway, Davao City (hybrid set-up).
