Supply Chain/Logistics Operations Coordinator

We are seeking a detail-oriented and proactive Supply Chain/Logistics Coordinator to oversee various aspects of our business operations. The ideal candidate will be responsible for managing invoices, communicating order details to the sales team, handling billing and payment collection, organizing orders into our logistics systems, managing accounts receivable and payable, overseeing ERP system management and inventory control, conducting demand planning and forecasting for inventory, running payroll, coordinating with manufacturing partners to ensure timely delivery of finished products, and generating reports for the sales team and upper management. This role requires excellent organizational skills, strong communication abilities, and the ability to multitask in a fast-paced environment.

Responsibilities:

Invoicing:Generate and send invoices to customers accurately and in a timely manner. Maintain records of invoices and follow up on outstanding payments. Order Communication - Communicate order details effectively to the sales team to ensure smooth processing and fulfillment. Billing and Payment Collection:Manage billing processes and collections, ensuring timely payment from customers. Handle inquiries and resolve billing discrepancies promptly. Logistics Management:Organize orders into our logistics systems and coordinate shipments to ensure timely delivery to customers. Monitor shipment statuses and address any issues that may arise during transit. Accounts Receivable and Payable:Manage accounts receivable by tracking payments and following up on overdue invoices.Process accounts payable invoices accurately and in a timely manner. ERP System Management and Inventory Control:Oversee the company's ERP system, ensuring accurate data entry and inventory management. Conduct regular inventory audits and reconcile discrepancies as needed. Demand Planning and Forecasting:Analyze sales data and market trends to forecast inventory needs and optimize stock levels.Collaborate with the sales and procurement teams to ensure adequate inventory levels to meet demand. Manufacturing Coordination:Coordinate with manufacturing partners to ensure timely production and delivery of finished products. Monitor production schedules and address any delays or issues that may impact delivery timelines. Reporting Generate and analyze reports for the sales team and upper management, providing insights into sales performance, inventory status, and operational efficiency. Present findings and recommendations to support decision-making processes.Requirements Bachelor's degree in Business Administration, Operations Management, or a related field. Proven experience in operations coordination or a similar role, preferably in a manufacturing or distribution environment. Proficiency in ERP systems and inventory management software. Familiarity with logistics and supply chain management concepts. Excellent communication and interpersonal skills. Strong analytical and problem-solving abilities. Ability to prioritize tasks and manage time effectively in a fast-paced environment. Attention to detail and accuracy in data entry and record-keeping. Knowledge of accounting principles and experience with accounts receivable/payable processes.Ability to work collaboratively with cross-functional teams. Prior experience in demand planning and forecasting is a plus.
