Receptionist/Administrative Assistant

You will be responsible for managing the front desk operations, handling administrative tasks, and maintaining accurate records of employee attendance and work hours. This role requires excellent organizational skills, a friendly demeanor, and attention to detail.

Key Responsibilities

Reception Duties:

Greet and welcome employees and visitors in a professional manner.Answer and direct phone calls to the appropriate personnel.Handle incoming and outgoing mail, packages, and deliveries.Maintain a tidy and welcoming reception area.Administrative Tasks:Perform general clerical duties such as data entry, filing, and photocopying.Assist with scheduling appointments and meetings.Maintain and update office records and databases.Order and manage office supplies.Timekeeping:Accurately record and track employee attendance and work hours.Process timesheets and ensure timely submission.Assist with payroll preparation by providing relevant data.Address and resolve any discrepancies related to timekeeping records.Compliance and Confidentiality:Ensure compliance with company policies and legal regulations regarding timekeeping and attendance.Maintain confidentiality of sensitive information.Qualifications

Education and Experience:

High school diploma or equivalent; additional certification in office administration is a plus.Proven experience as a receptionist, administrative assistant, or in a similar role.Experience with timekeeping systems and payroll processes is preferred.Skills:Proficient in Microsoft Office Suite (Word, Excel, Outlook).Strong organizational and multitasking abilities.Excellent verbal and written communication skills.Attention to detail and problem-solving skills.Personal Attributes:Friendly and professional demeanor.Reliable and punctual.Ability to handle stressful situations calmly and efficiently.
