POSITION OVERVIEW

We are seeking a highly organized and proactive Personal Assistant with a strong background in administration, sales, marketing, and quality assurance. This role will support various functions, including sales, sourcing, procurement, and marketing, with an emphasis on managing samples, coordinating newsletters, and assisting with quality checks. The ideal candidate will have 3-5 years of experience, proficiency in Microsoft Office applications, and some familiarity with ingredients or QA processes, though training will be provided where necessary.

KEY RESPONSIBILITIES

1. **Sales and Marketing Support:**

Monitor and manage the Co-Founder & Head of Growth's inbox to ensure timely responses and follow-ups.Assist in organizing and distributing newsletters to drive revenue, introduce new products, and manage clearances.Coordinate with web developers and designers (including Fiverr engagements) for website updates and marketing collateral.Update Shopify blurbs and other content to ensure accuracy and relevance.Input leads into CRM to relieve the sales team and ensure efficient follow-up on opportunities. 2. **Sample and Quality Management:** Manage all aspects of sample handling, including sending, storing, checking, and obtaining Certificates of Analysis (CoA).Perform quality checks on samples, ensuring they meet specified standards before sending them to customers.Document and improve the sample evaluation process, ensuring alignment with FSANZ (Food Standards Australia New Zealand) guidelines.Organize the delivery and management of packaging for samples and final products. 3. **Procurement and Sourcing Coordination:** Collaborate with the procurement team to develop sourcing strategies, including assessing the viability of sourcing from different countries and identifying any banned products.Work with freight partners to ensure compliance with import requirements and streamline the sourcing process.Review CoA requirements for new products and coordinate with relevant stakeholders to ensure compliance. 4. **Administrative and Event Coordination:** Organize functions, events, and gatherings as required, ensuring smooth execution and attention to detail.Provide administrative support, including managing offshore vs. onshore resource allocation and coordinating various operational tasks.QUALIFICATIONS:3-5 years of experience in a similar role, with a background in sales, marketing, or quality assurance.Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) is essential.Strong organizational skills and the ability to manage multiple tasks simultaneously.Experience with Shopify, CRM systems, and basic marketing tools (e.g., newsletters, email campaigns).Familiarity with quality assurance processes and standards, particularly within the food or ingredients industry, is a plus.Excellent communication skills, both written and verbal.Proactive and able to work independently, with a keen eye for detail.
