Overview:

We are seeking a professional and highly organised receptionist to join our team remotely from the Philippines. The ideal candidate will have excellent communication skills with a neutral accent, as their primary role involves providing top-notch customer service over the phone. They will be the first point of contact for our clients, ensuring a positive and welcoming experience.

Key Responsibilities:

  1. Answering Incoming Calls:
    - Manage the main switchboard, answering incoming calls promptly and courteously.
    - Direct calls to the appropriate staff members efficiently.
  2. Email Management:
    - Monitor and distribute emails from the main company inbox.
    - Maintain and organise the inbox to ensure timely responses and follow-ups.
  3. Database Management:
    - Update and maintain client details in the company's database.
    - Ensure all information is accurate and up-to-date.
  4. Mail Distribution:
    - Receive and distribute incoming mail to the appropriate staff members.
  5. Client Onboarding:
    - Onboard new clients by entering their records into our electronic document management software.
    - Provide a seamless and welcoming experience for new clients.
  6. Appointment Booking:
    - Schedule appointments for staff and clients as needed.
    - Manage the company calendar to avoid scheduling conflicts.
  7. Process Documentation and Training:
    - Create a detailed process manual outlining the receptionist's duties and procedures.
    - Record video training sessions for future use, ensuring smooth onboarding of new hires.

    Qualifications:

    Excellent English communication skills with a neutral accent.
    - Previous experience in a receptionist or customer service role.
    - Strong organisational skills and attention to detail.
    - Proficiency in using electronic document management systems and databases.
    - Ability to work independently and manage multiple tasks simultaneously.
    - Reliable internet connection and a quiet work environment.
