Administrative Assistants (Administration & Office Support)
Full Scale is looking for an experienced Compliance Officer who specializes in PEZA, BOC, BFP, OBO, Business Permit, and Sanitary Permit compliance. This role ensures that the organization adheres to all relevant laws, regulations, and policies set forth by various government agencies. The Compliance Officer is instrumental in maintaining ethical standards, legal integrity, and operational efficiency within the organization, with a specific emphasis on activities related to PEZA-designated zones and other regulatory bodies.
1. PEZA Compliance:
- a. Stay updated about the latest PEZA regulations, incentives, and policies that impact our organization.
- b. Conduct in-depth research to grasp the specific requirements and consequences of laws related to PEZA.
2. Customs (BOC) Compliance:
- a. Make sure to adhere to the regulations set by the Bureau of Customs (BOC)
regarding imports, exports, and customs clearance. - b. Facilitate effective communication between our organization and BOC officials to streamline processes.
3. BFP (Bureau of Fire Protection) Compliance:
- a. Enforce and oversee compliance with fire safety regulations established by the Bureau of Fire Protection (BFP).
- b. Conduct routine inspections to verify that fire safety standards are consistently met.
4. OBO (Office of the Building Official) Compliance:
- a. Ensure compliance with building codes and regulations set by the Office of the Building Official (OBO).
- b. Coordinate with OBO officials for necessary permits and inspections.
5. Business Permit and Sanitary Permit Compliance:
- a. Oversee the acquisition and renewal of Business Permits and Sanitary Permits.
- b. Ensure compliance with local government requirements for business operations.
6. Policy Development and Implementation:
- a. Lead in the development and implementation of policies and procedures tailored to meet compliance standards for PEZA, BOC, BFP, OBO, Business Permit, and Sanitary Permit.
7. Auditing and Monitoring:
- a. Regularly monitor and audit internal processes to ensure compliance with
regulations from PEZA, BOC, BFP, OBO, and other relevant agencies. - b. Identify and address any areas of potential risk related to regulatory compliance.
8. Reporting:
- a. Prepare specialized reports detailing the organization's compliance status with regulations from various government agencies.
- b. Submit reports to PEZA, BOC, BFP, OBO, and other relevant authorities as
required. - a. Work closely with officials from PEZA, BOC, BFP, OBO, and other regulatory
bodies to address compliance concerns. - b. Collaborate with external agencies, legal professionals, and other stakeholders for comprehensive compliance management.
10. Recordkeeping:
- a. Maintain accurate and up-to-date records of compliance activities, ensuring readiness for audits and inspections from various regulatory bodies.
11. Office Management and Maintenance:
- a. Oversee the overall management and maintenance of the office environment.
- b. Schedule and implement preventive maintenance requirements.
- c. Call for office repairs and maintain office equipment inventories.
- d. Manages the process of obtaining building gate passes for equipment coming in and out of the office, ensuring all equipment movements comply with security and regulatory requirements.
12. Office Supplies Procurement:
- a. Manage the procurement of office supplies to ensure availability and
cost-effectiveness.
13. Asset and Property Management:
- a. Oversee asset and property management to maintain an organized and efficient workspace.
14. Office / Asset Security and Access:
- a. Manage office and asset security, including biometric systems and access control
- b. Release company IDs and building access to employees.
- c. Provide door access to new hires.
- d. Manage security audit reports.
Qualifications:
- In-depth knowledge of regulations from PEZA, BOC, BFP, OBO, local government units, and other relevant agencies.
- Strong analytical and research skills, with a focus on compliance requirements specific to each regulatory body
- Excellent communication and interpersonal skills.
- Detail-oriented with a focus on accuracy.
- Ability to work independently and as part of a team.
- Experience in compliance, auditing, or a related field is a plus, with a preference for experience in PEZA and other related compliance areas.
- Familiarity with the broader landscape of government regulations, including those outside PEZA, BOC, BFP, OBO, Business Permit, and Sanitary Permit, is beneficial.
