About the Role:We are seeking a highly motivated and detail-oriented Virtual Assistant with experience in Shopify to join our team. The ideal candidate will manage customer service, order processing, and financial tasks while ensuring smooth daily operations. This role requires excellent communication skills, a proactive approach, and the ability to work independently in a fast-paced environment.
Ideal Candidate (must have requirements):- Must have completed 2 years in college (any course)
- Proven experience as a Virtual Assistant or relevant role.
- Proficiency in Shopify.
- Experience with customer service platforms, especially Gorgias.
- Familiarity with shipping and order management tools like StarShipIT.
- Background handling Xero is not required but would be a great advantage
- Strong organizational and multitasking abilities.
- Excellent verbal and written communication skills.
- Ability to work independently and manage time effectively.
- High level of integrity and confidentiality.
- Amenable to working on-site at our Cebu City office
Customer Service:
- Gorgias Management: Update macros as needed, respond to customer inquiries, and resolve issues efficiently.
- Out of Stock Product Management: Communicate with customers regarding product availability and alternatives.
- Shopify Exchanges and Returns: Process exchanges and returns through Shopify.
- AusPost Return Label Creations: Create return labels for the wrong products sent.
- StarShipIT Training: Train to update addresses and place fraudulent orders on hold.
- Chargeback Management: Handle chargebacks and dispute resolution.
Fraud Order Management: Identify and manage fraudulent orders.
Payment Pending Management: Monitor and resolve payment pending issues. - Subscription Management: Manage subscriptions, including requesting feedback for cancellations.
- Daily Warehouse Communication: Liaise with the warehouse team on order fulfillment and overdue shipments.
- End of Month (EOM) Reporting:
- Discount code usage
Finance / Accounts:
- Bank Reconciliation: Reconcile bank transactions.
- Payroll: Process payroll accurately and on time.
- Accounts Payable: Process invoices and ensure timely payments.
- Month-End Journal Support: Assist with month-end journal entries.
- Clearing Account Reconciliation: Reconcile clearing accounts.
- Quarterly Balance Sheet Reconciliation: Perform quarterly reconciliations of balance sheet accounts.
- HMO coverage on Day 1 of employment for you and 2 dependents and we include dental coverage.
- 2-week paid Christmas Break. Enjoy the season without worrying about your work.
- Fixed weekends off (Saturday and Sunday). Take control of your weekends, relax with loved ones, or indulge in your passions.
- Take advantage of working the dayshift schedule Wake up to the sunrise and wind down as the sun sets.
