Job Overview:

The Client Services Staff is primarily responsible for supervising updates from real estate agencies regarding property "exports" and updating tenant information. This role requires diligent oversight of property management tasks, ensuring safety and efficiency in client services operations.

Objectives:

Ensure accurate and timely updates of tenant and property information.

Maintain high levels of customer service and support for property managers and tenants.

Enhance communication and problem-solving procedures within the team.

Specific Tasks and Responsibilities:

Confirm and manage spare keys for contractors to access properties.

Oversee active notices and coordinate with Landlords and/or Property Managers for assistance.

Monitor daily productivity and provide updates.

Escalate complex issues to direct supervisors for timely resolution.

Actively collect and share client feedback with the offshore team to ensure client needs are met or addressed.

Respond promptly to tickets and emails from agencies and head office.

Resolve Active Notices and assist in the integration or merging of properties.

Communicate with agencies or tenants via email or phone for necessary assistance.

Timelines for Achievements:

Immediate training upon hire to understand systems and processes.

Within the first 30 days, take full responsibility for key tasks including key confirmations and active notices resolution.

Achieve consistent client satisfaction scores above [specified target] within the first 90 days.

Quarterly reviews to assess progress toward ongoing efficiency improvements and customer satisfaction.

Required Qualifications:

At least SHS Graduate or College Level education

Must be willing to work ASAP. (Start Date: May 6)

Proficiency in MS Office and ability to quickly learn new programs.

Demonstrated ability to communicate effectively, both verbally and in writing.

Strong organizational skills with a keen attention to detail.

Proven problem-solving skills and ability to operate in a fast-paced environment.

Excellent customer relations skills and a positive, goal-oriented attitude.
