The Role: Project Management and Executive Admin Business Partner
What will you do?
- Work directly with the VP and maintain the calendar, including scheduling meetings, appointments, speaking engagements, and travel (may include domestic and international) arrangements.
- Serve as a liaison between the VP and partners & stakeholders.
- Coordinate work with VP's direct reports as needed; play a key role in the coordination of Global Hub VP's initiatives & efforts both within and outside the department.
- Provide coordination, monitoring, and communication of projects and programs managed by VP and Site Operations & Engagement Team – Project Management Office
- Assist in PMO activities and processes including project planning, intake, prioritization, initiation, execution, and training, as well as in fostering collaboration of end-users and key stakeholders.
- Serve as a primary point of contact between the Hub's organization and other groups in community & territory, including helping to coordinate the work of the different groups and providing administrative support for governance meetings.
- Routinely perform a wide variety of admin support duties. Handle printing, faxing, mail packages, copying, filing, and email/messages. Sort and triage mail; maintain e-mail and other address directories. Compose and prepare letters relating to routine correspondence.
- Schedule departmental meetings; assist in the preparation and distribution of meeting agendas and materials. Complete a variety of special projects including creating PowerPoint presentations, financial spreadsheets, special reports, and agenda material.
- Transcribe source material, prepare documents, reports, tables and charts; distribute as appropriate. Prepare, reconcile, and submit expense reports.
- Maintain confidential and sensitive information. Attend meetings and take notes of discussion; prepare the initial draft of minutes and summaries.
- Other additional and/or alternative duties as assigned from time to time, including supporting other departments or Executives as needed.
Who would be successful?
Bachelor's degree
Excellent verbal and written communication skills. Fluency in English required.
Experience as PMO, either with certification or experience acquired, if with lean six sigma – advantage
Expert ability using Microsoft Office programs including, but not limited to Teams, Word, Excel and PowerPoint and potentially Microsoft Project. Creating & Editing videos is a plus.
Strong organizational skills including, but not limited to, the ability to handle multiple demands and assignments and the ability to prioritize tasks effectively and efficiently.
Requires the ability to exercise independent judgment and a high degree of initiative in resolving problems and developing recommendations.
Good understanding of Administrative and Vendor Support functions
Work is generally of a critical or confidential nature.
