The Role: Executive Business Partner

What will you do?

Executive Assistance

  • Manages calendar, travel arrangements & expense reports of the executive
  • Meets regularly with Executive to review the status of projects; plan key events, meetings, and upcoming travel; and prioritize open action items .
  • Creates and maintains reports, spreadsheets, and other necessary documents in response to and in anticipation of executive's needs
  • Assistance with preparation and consolidation of materials to build an executive presentation of monthly/quarterly meetings.
  • Prepares, reviews submits and tracks Executive's expense reports for reimbursement
  • Organize and manage Team shared files
  • Advice, support, assist, coordinate, and collaborate on special projects which are highly complex, and involve the creation and oversight of multifaceted teams.
  • Handles details of a highly confidential and critical nature.
  • Interacts and communicates with all levels within the company; develops effective networks with peers, as well as external professional groups.
  • Must be able to juggle many tasks simultaneously.

Administration Assistance

  • Shuttle Service Management
  • Process Purchase Requests, Purchase Orders, Invoice Coding, vendor setup, and AP coordination
  • Enters, tracks, and processes departmental expenses and invoices for payment
  • Assist travel arrangements (domestic and international); air, hotel, and car arrangements for Hub employees and Hub visitors
  • SharePoint Database and Group Email Administration
  • Works with peers to execute approved project activities
  • Perform other related projects and duties as assigned
Qualifications

Who would be successful?

  • Excellent verbal and written communication skills. Fluency in English required.
  • Expert ability using Microsoft Office programs including, but not limited to Teams, Word, Excel and PowerPoint and potentially Microsoft Project. Creating & Editing videos is a plus.
  • Strong organizational skills including, but not limited to, the ability to handle multiple demands and assignments and the ability to prioritize tasks effectively and efficiently.
  • Requires the ability to exercise independent judgment and a high degree of initiative in resolving problems and developing recommendations.
  • Knows how to leverage resources and delegates effectively
  • Expert ability using Outlook
  • Displays a positive and team-first attitude
  • Continuously seeks ways to enhance contribution to those they support
  • Exercises considerable discretion and independent judgment and is capable of analyzing complex information requests and determining complex trends.
  • Experience with project coordination and budget tracking.
  • Good understanding of Administrative and Vendor Support functions
  • Work is generally of a critical or confidential nature.
  • Demonstrates a commitment to acquiring new capabilities
  • Able to work in a flexible/rotating schedule. Usually mid-shift.
  • Supports hybrid work model. Work at Home and Work On-Site.
