    The Admin Assistant is responsible for providing administrative support to the assigned department through effective calendar management, proper dissemination of official communications, report/presentation consolidation and preparation, and maintenance of an efficient filing system.

  • Accurate and Timely preparation and submission of reports, presentations and/or documents
Official communications are properly and timely disseminatedNo double-booked or missed meetingsNo missing documents/ filesComplete supplies at all timeReceives visitors courteously, attends to their inquiries and refers them to the concerned party in the DepartmentManages meeting or activity logistics (room, food, materials, etc.) for the Department; provides logistics assistance in RBU-wide activities when needed; schedules use of the venue/ meeting room and ensures its cleanliness and orderliness before and after useMaintains an efficient filing system of all documentsMaintains a logbook/record of all incoming and outgoing official documents, sees to it that pertinent memos, documents and other materials are routed to the proper person/sMaintains adequate stock of office supplies through timely requisition and distribution of needed supplies of the Department

Prepares or updates presentations, reports and memos as instructed, which are not limited to the following:

o Monthly Business Review (MBR) Report – includes collection/consolidation of data from varied information sources

o Brand Team Meeting (BTM) Report/ Presentation

oMinutes of Meeting

o DOLF-P Store Photo Consolidation

o Cross Functional Team Presentations/ Reports

Safeguards the confidentiality of official documents, including information transmitted verbally (directly or indirectly)Prepares, monitors, and checks for accuracy of cash advance, liquidation, reimbursement includes expense report trackingFacilitates hotel reservations and airline bookings/tickets and is responsible for the preparation of check request/payment of the travel agencyAssists the in other clerical tasks as neededMaintains cleanliness and orderliness of the office through observance and promotion of 5S practices; may be assigned members/marshals of the office ERT (Emergency Response Team)Performs other related duties assigned by the OD from time to time such as but not limited to, payables tracking, directory updates, people engagement activities, etc.
