Position Summary

Front Office Associates represents the hotel to the guest throughout all stages of the guest’s stay. Checks guest’s reservation and identifies how long the guest will stay. Help guests to complete registration cards and then assign rooms, accommodating special requests whenever possible.

Responsibilities

Verifies the guest’s method of payment follows established credit-checking procedures. Places guest and room information in the appropriate front desk racks and communicates this information to the appropriate hotel personnel.Works closely with the Housekeeping Department in keeping room status reports up to date and coordinates requests for maintenance and repair work. Maintains guest room key storage, maintains and supervises access of safety deposit boxes.Must be sales-minded. Presents options and alternatives to guests and offers assistance in making choices. Knows the location and types of available rooms as well as the activities and services of the property.Performs cashiering tasks like bill/invoices settlement, posting charges to the guest and paid out’sAttend briefings prior to the shift opening and take over from previous shift. Reads log book for any special instruction. Is aware of daily activities and meetings taking place in the hotel.Check the arrivals for the day and room status including departures for the day and the total occupancy for the day.Process Guest Check-ins. Prepare records and pre-registration forms for all expected guest arrivals.Process Guest Check-outs. Double check folios of all guest departures, sees to it that all room charges are posted and collected.Handle group registration as per laid down procedures.Register all room arrivals and update guest folios during the shift.Knows how to up-sell rooms and do suggestive selling techniques to sell rooms and to promote other services of the hotel.Knows room locations, types of rooms available and room rates.Constantly update room rack/Front Office database.Maintain room rates absolutely current and be informed of the days rack rate. Give departure rooms to housekeeping promptly.Assist in making room and occupancy reports.Prepare the room discrepancy report and double check by physical verification.Update guest history periodically to have an accurate database.Ensure logging and delivery of all messages, packages, and mail in a timely and professional manner.Maintains cleanliness and neatness of the front desk area.Ensure that all stationary supplies and forms are available for a full shift and request them if necessary. Also OR, AR, Petty Cash Voucher and Charge Slips.Organize wake-up call service and provide a timely service to guests.Maintain the telephone equipment and ensure its proper usage.Exhibit proper telephone manners.Offer prompt and accurate connections to guest and employees.Take over shift log book and note the special instruction for the shift.Record special instructions for the next shift as appropriate. Maintain caller privacy at all times.
