Are you an organized and proactive professional with a passion for operational excellence and client satisfaction? We're looking for a Home-Based Order Management Specialist/Production Specialist to support our U.S.-based client in managing daily production operations and order fulfillment. In this role, you'll oversee purchasing, vendor coordination, and production tracking, ensuring every order is processed accurately and delivered on time.

REQUIRED CORE COMPETENCIES

  • Process-Driven: Ensures smooth order flow by adhering to production standards and continuously improving operational procedures.
  • Customer-Centric: Focused on providing excellent client experiences by ensuring timely, high-quality outputs.

WHAT YOU WILL DO

Order Entry:

  • Place orders and set up items in the system.
  • Create sample orders
  • Send prepayments to vendors and create prebill invoices
  • Send order confirmations, artwork proofs, and tracking details to clients.​

Order Management:

  • Submit purchase orders to vendors
  • Coordinate on order details or discrepancies with sales teams to ensure order accuracy and timely resolution of issues.
  • Maintain clean and up-to-date order management portals for sales visibility.

Billing:

  • Request tracking from the vendor
  • Complete multi-destination tax adjustment form for sales tax for Accounting (when needed)
  • Request vendor bills when not sent/received on time.
  • Work with the sales team to fix vendor bill discrepancies
  • Work through the 30-day open order report

Power User – NetSuite Support:

  • Assist with locked order edits
  • Assist sales and sales support with general questions
  • Assist sales and sales support with troubleshooting order entry or billing challenges
  • Work closely with the ERP team to identify problems
  • Assist with Sandbox testing after new development or enhancements are launched
  • Provide ongoing training companywide

WHAT WE LOOK FOR

  • Education: Bachelor's degree in Marketing, Communications, and Business Administration, or any related field.
  • Experience: 1-2 years of direct Promotional, Customer Service, or Order Management role.
  • Language Proficiency: Strong verbal, written, and English communication skills.
  • Working schedule: Ability to work overnight/graveyard shifts in Philippine time or within US operating hours.
  • Technical Skills:
  • Proficient in both Microsoft and Google applications.
  • Basic exposure to Adobe Illustrator, Adobe Photoshop, and Canva is ideal.
  • Direct experience in the promotional industry or comparable e-commerce experience is beneficial.
  • Ability to prioritize and manage multiple projects under tight deadlines.
  • Ability and willingness to learn industry-specific software.
  • Experience with promotional products includes item research, ordering, and follow-up.
