ROLE SUMMARY

Our client is looking for a Maintenance Coordinator who will be responsible for providing administrative support and dispatch services for the maintenance team. This role is critical in ensuring efficient handling of property repairs, preventative maintenance, and emergency response coordination. This role will work remotely to manage work orders, schedule outside vendors, track progress, and ensure tenant satisfaction.

The ideal candidate is someone who can see the big picture of the clients' investment goals, how they relate to the management plan for the properties, and implement those initiatives into their daily decision-making.

WORK SCHEDULE: 8:00 AM – 5:00 PM Eastern Daylight Time (8:00 PM – 5:00 AM Philippine Standard Time), follows Philippine holidays

POSITION TYPE: Full Time

WORK ARRANGEMENT: Remote

ESSENTIAL FUNCTIONS:

  • Assign work orders to maintenance technicians and track their progress from initiation to completion

  • Allocate team resources in a way to complete work orders in the fastest way possible while ensuring high-quality work

  • Schedule and coordinate with outside vendors for specialized repairs and services

  • Assist Property Managers with coordinating unit turns

  • Monitor the status of all open work orders and ensure timely completion

  • Communicate proactively with tenants regarding scheduling and the status of their maintenance requests

  • Follow up with tenants after work order completion to confirm satisfaction and address any lingering concerns

  • Maintain accurate records of all maintenance activities, including work performed, materials used, and costs incurred

  • Assist in maintaining property curb appeal and cleanliness by coordinating necessary tasks with the maintenance team

  • Provide administrative support to the maintenance department as needed

QUALIFICATIONS:

  • A Bachelor's degree in the related field is preferred

  • Proven experience in a coordination or administrative role, preferably within property management or a related field

  • Proficiency in using property management software (e.g., AppFolio) and other relevant computer applications

  • Strong organizational and time management skills with the ability to prioritize multiple tasks effectively

  • Excellent communication skills, both written and verbal, with a focus on tenant satisfaction

  • Ability to work independently and remotely with a high degree of self-motivation

  • Problem-solving skills and a proactive approach to addressing maintenance issues
