Job Title: HR Services Coordinator III

Work Mode:  2 days work from office/ week

Shift: Regular PH shift

Location:  Pasig, Manila

Description:

The HR Services Coordinator III (Developing Support level), will be focused on Global Mobility activities. We are looking for a highly organized and detail-oriented Global Mobility Coordinator to join our team on a temporary basis. This contractor role is designed to provide essential coordination, administrative and operational support to the Global Mobility function, helping to ensure smooth execution of immigration, business travel and cross-border compliance. The ideal candidate will be comfortable working in a fast-paced environment, managing data, and coordinating with multiple stakeholders.

Key Responsibilities

Administrative Support:

Provide day-to-day administrative assistance to the Global Mobility team.

Prepare and maintain documentation related to immigration and cross-border compliance.

Support the coordination of logistics related to cross-border movement.

Support internal audits completing collating data and documents as requested.

Data Entry & Management:

Complete data clean-up activities, updating documents and data fields. Highlighting gaps and support any follow actions to obtain information from employees.

Accurately input and update immigration and business travel information into HR and business travel tools.

Undertake periodic reviews to monitor data quality and ensure consistency across platforms.

Assist in generating reports and summaries for internal use.

Working in Workday and other mobility tracking tools to ensure that data is updated and maintained.

Query management and Information Gathering:

Chase missing information from internal teams, external vendors, and mobile employees. Following process to then update systems in line with guidance.

Handle case and queries in Service Now related to business travel and immigration responding and following up as required. Ensuring adherence to SLA's

Work to deadlines to complete activities and take responsibility for completing required actions. Ensuring escalation of issues or challenges to completion.

Compliance & Documentation:

Ensure all mobility documentation is complete and compliant with company policies.

Assist with internal reviews and compliance checks.

Skills & Qualifications:

Strong attention to detail and accuracy.

Excellent organizational and time management skills. Able to work to Service Level Agreements

Clear and professional communication style.

Proficiency in Microsoft Office (especially Excel and Outlook) and Service Now

Experience with HR systems or mobility platforms is a plus.

Able to work independently but under the direction and support of a team lead. Regularly review performance and progress.

Able to review policy and guidance and interpret this into day-to-day actions and requirements.

Preferred Experience:1–2 years of experience in HR administration, global mobility, or a related field.
