Job Description

As an Administrative Assistant/Virtual Assistant, you'll support end-to-end real estate operations-from prospecting and CRM updates to documentation and client coordination. You'll ensure seamless workflow execution, accurate data management, and strong client relationships that fuel business performance and global growth.

The Qualifications We Seek

  • 5+ years of admin experience
  • Strong communication skills and proficient English
  • Adaptability
  • Autonomy & Initiative
  • Reliability

Preferred skills (not mandatory but highly desirable):

  • Social media management
  • Experience in the Real Estate industry is a must
  • Ability to build rapport with clients via phone in English

Your Daily Tasks

Prospecting:

  • Manage input and data integrity in and CRM
  • Prospect potential vendors through phone calls
  • Update the database promptly with vendor and purchaser details
  • Respond to all assigned tasks in
  • Prepare prospecting materials as required
  • Set and track KPIs for prospecting
  • Call clients to collect feedback after viewings and open homes
  • Send appointment reminders as needed

Administration Support:

  • Generate weekly vendor reports
  • Prepare materials for appointments and open homes
  • Conduct background searches on properties and clients
  • Attend company and team meetings
  • Prepare and send appraisals
  • Prepare open home materials
  • Manage listing documentation and related property files
  • Enter open home times into CRM and verify with calendar
  • Process sales and purchase agreements
  • Support workflows for conditional and unconditional properties
  • Send communications to the client database via CRM
  • Liaise with clients via phone or text as required

Relationship Management & Other:

  • Coordinate activities with team members handling listings and sales
  • Safeguard customer and prospective client information
  • Follow established processes and procedures
  • Adhere to health and safety policies
  • Report accidents and identify ways to reduce waste
  • Suggest improvements to the Salesperson
  • Meet or exceed performance goals and KPIs
  • Perform additional duties as requested
  • Build and maintain relationships with vendors and purchasers
  • Deliver results with high standards
  • Stay methodical and systematic with tasks
  • Work well under pressure
  • Balance personal and professional demands
  • Accept feedback and maintain compliance with legal and safety requirements

Limitations of Authority:

  • Operate only under the authority of the Agent when discussing real estate
  • Stay within the scope of the role
