Job Summary

We are seeking a high-performing Procurement Officer to take full ownership of project-based procurement across our marketing, production, and communications initiatives. This role plays a mission-critical function in ensuring that all goods, services, and deliverables are sourced, negotiated, and acquired efficiently and effectively—meeting tight deadlines, budget constraints, and quality benchmarks.

As the Procurement Officer, you will be the central command point for all project-related procurement activities, working across departments and with external partners to deliver the materials and services that power our client campaigns. Your ability to drive cost savings, reduce risk, and accelerate timelines will have a direct impact on project success and business performance

Key Responsibilities

  • Manage and execute the end-to-end procurement process for project-specific purchases, ensuring alignment with internal policies, approved budgets, and delivery timelines.
  • Process and track purchase requisitions and purchase orders in SAP S/4HANA, coordinating with internal requestors and Finance for budget approvals and alignment.
  • Collaborate with internal departments (Creative, Production, Accounts, Admin, IT) to understand project requirements and ensure timely procurement of goods and services such as marketing collateral, event materials, office supplies, IT hardware, and other deliverables.
  • Monitor delivery schedules and coordinate with internal teams and vendors to ensure on-time fulfillment of all procurement requirements.
  • Resolve procurement issues, including order discrepancies, invoice mismatches, and delivery concerns, to maintain uninterrupted project execution.
  • Maintain accurate and complete documentation of procurement transactions, including POs, quotations, invoices, approvals, and delivery receipts, in compliance with audit and regulatory standards.
  • Track and report on procurement spending to ensure adherence to approved project budgets and identify opportunities for cost optimization.
  • Support internal audits by ensuring all procurement activities are documented, compliant, and aligned with internal control measures and company regulations.
  • Provide regular updates on procurement status to project stakeholders and proactively escalate risks or issues that may impact timelines or budgets.

Qualifications

  • Bachelor's degree in Business Administration, Supply Chain Management, Operations, or related discipline.
  • Minimum of 3–5 years of procurement experience, with a strong background in project-based purchasing (preferably within marketing, advertising, media, or events industries).
  • Proficiency in SAP procurement systems (preferably SAP S/4HANA) is required.
  • Solid understanding of procurement workflows, cost control, and compliance requirements.
  • With supporting fast-paced, deadline-driven environments.
