The law firm serves 39 counties, partnering with a consistent group of approximately 50 lawyers to deliver high-quality mediation services. About The Role
We're looking for a proactive and creative
Executive Assistant
to support a dynamic entrepreneur running both a busy mediation law firm and a growing skincare brand. This role blends high-level administrative support with hands-on involvement in digital marketing, content creation, and e-commerce operations—perfect for someone who thrives in a fast-paced, multi-faceted environment. Responsibilities
- Manage calendar scheduling, email correspondence, and preparation of confirmation letters for mediation bookings.
- Coordinate with legal practices to ensure smooth scheduling and communication.
- Maintain and update a shared spreadsheet system for task tracking and internal communication.
- Support basic website management via WordPress, including content updates and inventory tracking.
- Assist with e-commerce operations, including order monitoring and basic product management.
- Create and schedule content across multiple social media platforms, with a focus on Instagram.
- Lead social media management and marketing efforts, including content creation, posting, and engagement tracking.
- Produce the weekly Monday Mediation Memo using Canva templates, ensuring timely and consistent content delivery.
- Develop and implement TikTok content strategies to grow audience reach and engagement.
Competencies And Qualifications
Must-Have
- 3–5 years of experience in an Administrative or Executive Assistant role, or similar positions.
- Proven experience in executive support, including calendar management, email handling, and preparation of confirmation letters.
- Hands-on experience with social media management and marketing, including Instagram content scheduling, TikTok Reels creation, and TikTok Shop coordination.
- Skilled in using Canva for basic graphic design and content creation.
- Exceptional written and verbal communication skills in English.
- Strong sense of discretion and professionalism; committed to maintaining confidentiality at all times.
- Self-starter with a proactive mindset and strong problem-solving skills; able to work independently and take initiative without constant oversight.
Nice-to-Have
- Proficient in managing WordPress and GoDaddy for website updates and basic development tasks.
- Experienced in overseeing initial inventory setup and supporting day-to-day e-commerce operations.
- Comfortable working with online payment portals and website-integrated calendar booking systems.
