Main Duties and Responsibilities
Assist in the preparation of monthly and annual reports, presentation materials needed by the Department Head for Management Committee, TMP and other internal meetings (Mancom Reports)
Assist in the marketing activities and preparation of the Department's special projects, if any
Handle filing and distribution system of parts accountable forms and documents
Assist in quarterly inventory counting
Participate actively in Kaizen activities of the department and of the company
Observe 5s procedures regularly
Prepare weekly unclaimed reports to be submitted to Service and Parts Departments, and other reports as required by the Department and other units
Update the SAP system when the following transactions occur
a. Delivery of parts by TMP, other dealers and supplier
b. Changes in prices of parts
- Monitor the following activities in Toyota Partner's Online (TPO):
a. Price movements
b. Substitution of parts numbers
c. Status of back order and delivery of parts
Other matters, e.g. trainings and announcements
Follow-up back-order of parts with TMP
Handle voiding and deletion of service invoices for returned parts
Prepares Service, Counter, SOQ, Chemicals, Jobber, Genuine & Battery orders to TMP
Process all RPA claims to TMP and process Parts rebates to TMP
Assists in the DPOK synchronization of Parts & Service.
Prepares minutes during PD coordination meeting (if needed)
Serves as a reliever of ERA operator/ Admin staff (if needed)
Checking of supplier's Sales Invoices before submission to Accounting for payment.
Attends scheduled departmental meetings.
Perform other job-related tasks that may be assigned from time to time
