any two-year medical related course (preferably has a Caregiving NC II

Certificate).

Experience : Minimum of 1–2 years in a medical receptionist or administrative role,

preferably within a surgical or hospital environment.

Training : Basic Life Support, Customer Service Training.

DUTIES AND RESPONSIBILITIES

Patient Reception:

  • Welcomes and assists patients, in a courteous and professional manner.
  • Provides accurate directions and information regarding pre and post operative, procedures, and protocols.

Scheduling and Coordination:

  • Schedules surgical procedures in collaboration with the nurses.
  • Coordinates with surgeons, anesthesiologists, nursing staff, and diagnostic departments to confirm appointment availability and schedule feasibility.
  • Updates and maintains the surgical calendar and appointment system.

Communication and Correspondence:

  • Answers and manages incoming phone calls and emails related to surgical schedules and inquiries.
  • Relays messages accurately and promptly to appropriate nursing personnel.
  • Distributes internal communications and patient notifications as needed.

Administrative and Clerical Support

  • Initial checking of requirements for outpatient surgical procedures.
  • Prepares and organizes patient and operating room schedules.
  • Supports the surgical team in generating reports, letters, and internal memos.
  • Prepares garments, footwear and lockers for medical staff that will utilize the surgical complex.
  • Checks accuracy of patient details encoded from the Hospital Information System to the GETZ Clinical Cloud Bookings.
  • Verifies completeness and accuracy of data on some reports generated through the GETZ Clinical Cloud.
  • Manages inventory for the MD Lounge.

Compliance and Confidentiality:

  • Ensures adherence to hospital policies, data privacy laws, and patient confidentiality regulations.
  • Monitors and flags any issues related to patient safety, procedure delays, or scheduling conflicts.

Reception Area Management:

  • Maintains a clean, organized, and welcoming reception area, waiting area, and patient and medical staff lockers.
  • Ensures availability of updated forms and garments for patients and medical staff.
