POSITION : EXECUTIVE ASSISTANT to the CCO
JOB LEVEL : Managerial
An Executive Assistant (EA) to a Chief Retail Officer (CRO) provides high-level administrative and strategic support, managing the CRO's complex schedule, coordinating meetings and travel, handling confidential communications, preparing reports and presentations, acting as a liaison with internal and external stakeholders, and assisting with special projects to ensure the smooth and efficient operation of the retail department.
This role requires excellent organizational skills, strong attention to detail, superb communication abilities, and the capacity to maintain discretion and handle sensitive information.
Key Responsibilities
- Calendar & Schedule Management: Manage the CRO's busy calendar, scheduling meetings, appointments, and other commitments.
- Travel & Logistics: Plan and book travel arrangements, including flights, accommodations, and ground transportation, for the CRO and potentially other team members.
- Communication Management: Act as a primary point of contact, screening calls, managing emails, and drafting professional correspondence and reports on behalf of the CRO.
- Meeting Coordination: Organize and coordinate meetings, conferences, and events, preparing agendas, taking minutes, and distributing relevant information to attendees.
- Report & Presentation Preparation: Assist in researching, compiling, and editing reports, presentations, and other documents for the CRO.
- Stakeholder Liaison: Serve as a key liaison between the CRO and internal departments, as well as external partners, customers, and suppliers.
- Confidentiality: Maintain strict confidentiality and handle sensitive information with the utmost discretion and professionalism.
- Special Projects: Support the CRO with various special projects, initiatives, and ad-hoc tasks as needed.
- Information Flow: Ensure the smooth flow of information to and from the CRO, keeping them informed of commitments and key issues.
Required Skills & Qualifications
- Organizational Skills: Exceptional ability to manage multiple tasks, prioritize effectively, and maintain order in a fast-paced environment.
- Communication: Excellent written and verbal communication skills to draft correspondence, interact professionally with stakeholders, and convey information clearly.
- Technical Proficiency: High proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant administrative tools.
- Attention to Detail: Meticulous attention to detail to ensure accuracy in documents, schedules, and communications.
- Problem-Solving: Strong analytical and problem-solving skills to address challenges and proactively resolve issues.
- Discretion: Proven ability to handle and maintain confidential and sensitive information.
Required Experience & Education
- Experience : Proven experience in a similar executive support role in a retail work environment
- Education : A bachelor's degree in Business Administration, Communications, or a related field is preferred.
