Job Title: Part-Time Kajabi Business Systems & Automation Specialist

Location: Remote

Schedule: 20hrs/week Flexible (with required availability on Thursdays & Fridays)

About the Role

We're rebuilding from the ground up—and that means you'll be joining at the most exciting time: the beginning. With no pre-built systems or processes in place, you'll have a blank canvas to create lean, effective, and scalable operations that form the foundation of a growing digital business.

We're looking for a proactive Business Systems & Automation Specialist who can take full ownership of platforms, automation workflows, and business infrastructure. You'll be essential in turning scattered ideas into smart systems, guiding our workflows, launching products, and tracking what matters—all while keeping everything clean, simple, and scalable.

This role is ideal for someone who thrives in autonomous environments, takes initiative when direction is limited, and knows how to make complex processes "stupidly simple."

Key Responsibilities:

Platform Management & Setup

  • Build and manage digital products, funnels, and automations in Kajabi
  • Set up and optimize offers, upsells, and order bumps in SamCart
  • Create and maintain email campaigns, tagging, and segmentation in Flodesk
  • Build and maintain Notion databases (SOPs, content calendars, launch trackers, dashboards)
  • Implement chatbot automations and lead workflows in ManyChat
  • Support AI Agent and ChatGPT-based tool development and workflows

Automation & Optimization

  • Audit recurring tasks and set up smart automations using Zapier, Make, or native integrations
  • Create reusable templates, checklists, and SOPs to reduce friction and speed up execution
  • Review funnel performance and customer journeys for quality assurance and continuous improvement

Content & Marketing Execution

  • Turn raw ideas into finished content across blogs, emails, and social media (Instagram, Pinterest, LinkedIn)
  • Upload, schedule, and manage content using tools like Meta Planner, Flodesk, and Pinterest scheduling tools
  • Support course launches, lead magnets, webinar setup, cart open/close cycles, and email sequences

Data & Reporting

  • Track and maintain key performance metrics across platforms (email engagement, funnel conversions, growth KPIs)
  • Maintain reporting dashboards (Notion or Google Sheets) and share weekly updates during check-ins
  • Analyze performance and suggest data-driven improvements to optimize ROI

Strategic Support

  • Offer suggestions and identify opportunities to streamline operations and eliminate inefficiencies
  • Help manage and evolve the business roadmap by translating strategic goals into actionable systems
  • Proactively identify what needs to be done even when not explicitly directed
  • Communicate clearly when priorities shift or decisions need to be aligned with the strategic plan

Qualifications:

  • Proven experience managing digital platforms: Kajabi, Flodesk, Notion, SamCart, ManyChat
  • Strong knowledge of automation tools: Zapier, Make, or similar
  • A self-starter mindset: you know how to take initiative and make informed decisions independently
  • Excellent communication skills—you can pitch improvements confidently and clearly
  • An eye for structure: you thrive in creating clarity from chaos and love building systems that scale
  • Data-driven thinker: you know how to track, interpret, and act on performance metrics
  • Content-fluent: comfortable organizing, formatting, and publishing digital content across platforms

Nice to Have

  • Familiarity with AI tools and agent workflows (e.g. ChatGPT, ManyChat-powered bots)
  • Experience managing or supporting digital launches and online course delivery
