ABOUT THE ROLE

We are seeking a proactive and self-motivated Billing & Administrative Assistant to join the team. This role is ideal for someone who is highly organized, efficient in their work style, and capable of keeping both themselves and others on track. You will play a key role in ensuring smooth operations by managing billing, administrative tasks, and client communications.

Key Responsibilities:

  • Manage accounts and billing using Xero, ensuring accurate and timely preparation of invoices.
  • Collate timesheets (Harvest experience is a plus) and draft invoices based on hours recorded for multiple clients and projects.
  • Oversee email and calendar management, helping the team stay organized.
  • Draft, review, and send professional communications to clients and stakeholders.
  • Support the business by handling various administrative tasks and assisting in project coordination.
  • Ensure deadlines are met, and tasks are completed with efficiency and attention to detail.

Qualifications & Skills:

  • Proven experience with Xero (essential).
  • Experience with Harvest timesheets (preferred but not required).
  • Strong organizational skills and ability to manage multiple priorities.
  • Excellent written and verbal communication skills.
  • Ability to work independently with minimal supervision.
  • Proactive mindset and a problem-solving approach.
