Job Title: Billing Assistant
Location: Talamban, Cebu City, Philippines
Employment Type: Full-time
Job Summary:
The Billing Assistant is responsible for preparing, issuing, and monitoring billing statements for homeowners' dues, utilities, and other charges within the subdivision. The role involves ensuring accurate records of accounts receivable, assisting with collections follow-ups, and providing billing support to residents. The Billing Assistant works closely with the Village Accountant and reports to the Village Manager or Finance Officer.
Key Responsibilities:
1. Billing Preparation & Issuance
- Generate and issue billing statements for monthly HOA dues, special assessments, penalties, utilities (if applicable), and other charges.
- Ensure accuracy of billing details, including lot number, homeowner name, billing period, and amount due.
- Distribute billing notices via email, printed copies, or resident portals (as applicable).
2. Collections Monitoring
- Monitor and update records of payments received from homeowners.
- Track outstanding balances and aging of accounts receivable.
- Prepare and send follow-up notices or reminders for overdue accounts.
3. Documentation & Recordkeeping
- Maintain an organized and updated filing system of billing records, official receipts, and payment history per homeowner.
- Record transactions in accounting or billing software used by the subdivision.
- Assist in generating reports for delinquency, collections, and billing summaries.
4. Customer Service & Coordination
- Respond to homeowner inquiries regarding billing issues, payment schedules, and account status.
- Coordinate with the cashier, accountant, or admin staff regarding receipts and payment applications.
- Assist during general assemblies, billing consultations, or meetings when needed.
5. Support for Finance Operations
- Assist the Village Accountant in reconciling billing data and actual collections.
- Help prepare billing-related reports for the HOA board or management.
- Maintain confidentiality of homeowner's financial data.
Qualifications:
- At least a Bachelor's degree or college-level in Accounting, Business Administration, or a related field.
- With at least 1 year of experience in billing, accounts receivable, or administrative support; experience in property management or an HOA setting is an advantage.
- Familiar with Microsoft Excel and billing/accounting software (e.g., QuickBooks, Excel-based systems).
- Strong attention to detail and accuracy in data entry.
- Good communication and customer service skills.
- Organized, trustworthy, and able to handle sensitive financial information.
- Preferably residing in or near Talamban, Cebu.
