Our client, based in Woodbury, MN, USA, is a team of dedicated clinicians specializing in person-centered care, offering both medication management and psychotherapy services. About the Role
As Marketing & Operations Manager, you will be responsible for overseeing three core areas: digital marketing and growth, administrative and operational support, and finance and claims management. This includes managing patient acquisition campaigns, creating engaging content, handling employee healthcare records, streamlining workflows, supporting billing and claims processes, and assisting with expense tracking and payroll to ensure efficient and compliant operations.
We are a small clinic with 3 therapists and 2 psychiatric medication providers with good admin support from our billing team within our electronic medical record. However, the operations manager will need to work to be the bridge between the billing team and the clinic while focusing on strategic growth of the business and streamlining workflows. Our candidate will be flexible knowing that sometimes working in a small business means doing multiple different types of tasks throughout the day.
Responsibilities
Digital Marketing and Growth
- Focus on patient acquisition as the primary goal, with therapy client acquisition and social media audience growth as secondary priorities.
- Develop and manage digital ad campaigns, including Google Ads and PPC, to drive traffic and conversions.
- Create and publish engaging content across TikTok, Instagram, Facebook, and YouTube, supporting brand visibility and engagement.
- Assist with graphic design and video editing using tools like Canva and Adobe Suite, while managing a consistent content calendar.
- Leverage AI tools (e.g., ChatGPT) to generate content and optimize YouTube strategy for educational content.
- Track and report on key digital performance metrics to inform ongoing improvements and refine marketing strategy.
- Maintain a marketing plan in order to drive high level growth. Some calling of other primary care offices and networking may be required in order to grow the business. You will act as a brand ambassador and must be willing to put yourself out there as well as the clinic's brand.
Admin and Operations Support
- Managing employee healthcare records, ensuring accuracy, confidentiality, and compliance with healthcare regulations. Must be HIPAA certified and understand the importance of navigating HIPAA in a compliant way at all times.
- Handles administrative tasks, including phone support when medical assistants are unavailable.
- Identifies inefficiencies and streamlines workflows to improve productivity without compromising quality of care.
Finance and Claims Management
- Assist with expense tracking and monthly payroll processing to ensure accurate and timely financial operations.
- Support backend coordination of billing and claims by managing internal systems and creating tickets in Salesforce. There is an independent billing team within the electronic health record.
- Tracking monthly reports for aging claims, claims that may need follow-up with our billing team, etc to track appropriate revenue flow.
Competencies and Qualifications
Must-Have
- 5+ years of experience in operations management, with expertise in digital marketing, administrative and operational support, finance, and claims management.
- Must have experience in the healthcare industry, with strong knowledge of the U.S. healthcare system including how claims flow, how insurance companies process claims, and how deductibles and copays work.
- Proficient in creating and managing Google Ads and PPC campaigns.
- Experienced in managing content across TikTok, Instagram, Facebook, and YouTube.
- Skilled in Canva and basic Adobe tools such as Photoshop and Premiere Rush in order to build Instagram campaigns and social media campaigns.
- Background in financial analysis, billing, and claims management is preferred.
- Advanced proficiency in Microsoft Excel in order to build monthly and/or quarterly reports that will be discussed with the owner of the company.
- Excellent written and verbal communication skills in English.
- Proactive with strong strategic thinking abilities.
- Exceptional organizational and multitasking skills.
- Proven leadership experience with the ability to effectively lead and manage teams.
- Understanding of HIPAA and regulatory requirements in the United States.
Nice-to-Have
- Familiarity with backend administrative workflows in clinical settings.
- Experience using AI content tools such as ChatGPT.
